Package shipments, maintain inventory, update employee files, manage return shipments, alert supervisor for low product, drop off shipments, call stores for checks, approve reports, and perform miscellaneous administrative tasks to support the CEO and team.

The Administrative & Fulfillment Coordinator will support a fast-paced experiential marketing agency by managing shipments, inventory, and administrative tasks while ensuring effective communication within the team.

Position: Administrative & Fulfillment Coordinator

Description: Health and Fitness Activations seeks an Administrative & Fulfillment Coordinator with Administrative Superpowers to work at a fast-paced experiential marketing agency specializing in clients in the health and wellness space.

Who You Are: Someone who is team-oriented, comfortable working independently, and highly organized. You love tackling problems head-on and finding solutions.

Responsibilities:

  • Package shipments
  • Maintain inventory
  • Update employee files with supplies received
  • Update account managers with shipments received
  • Alert supervisor when we are low on product
  • Drop shipments at FedEx/UPS
  • Manage return shipments
  • Call stores for scheduling and product checks
  • Approve Promomash reports submitted by demo reps
  • Miscellaneous administrative tasks to support the CEO and team
  • Administrative work can be done remotely with the time required at the storage facility each week depending on shipping needs

Requirements:

  • Solid experience with Google Drive, MS Office (particularly Excel), and Dropbox
  • Experience with or ability to learn Mac systems
  • Proven ability to manage multiple projects at a time while paying strict attention to detail
  • Ability to prioritize time-sensitive requests
  • Ability to communicate clearly & kindly in both written and verbal communication.
  • Ability to move, lift, and package supplies for shipment - Most packages less than 20 pounds
  • Experience with Shippo and Trello helpful
  • MUST be in Austin, TX – The storage unit is in South Austin

Salary: $50,000 – Health Insurance and SIMPLE IRA available

Shift: Monday – Friday; 40 hours per week
