JWA is a small consulting firm that specializes in public transit planning. Our clients are mostly local and state government agencies but can include corporations, nonprofits, and other entities. We currently have a staff of 18 people.
We are looking for an Administrative and Marketing Assistant in our headquarters in Portland, Oregon. The successful applicant will need to be highly organized and professional. The job requires one year of relevant work experience and has the potential to grow substantially in responsibility and compensation over time. An interest in urban planning and transit is helpful but not essential.
Starting pay will be in the range of $21-32/hour, depending on skills and experience. Our benefits program includes Gold-level medical and dental insurance, disability insurance, paid vacation, medical leave, 401k matching, and a free TriMet transit pass.
The successful applicant should expect to work from our inner SE Portland office at least two days per week and should be available to work at least 32 hours per week. However, beyond these critical requirements, significant flexibility is available in terms of specific days, hours and work locations.
The job description includes:
Administrative Assistance
- Implementing administrative procedures for a small consulting firm, in consultation with senior staff.
- Performing clerical tasks with patience and attention to detail.
- Supporting the Business Manager in tasks related to billing, time entry, receipts, payments etc.
- Managing basic office needs, including coordination with service providers and/or contractors and occasional assistance to the IT Manager.
Marketing and Proposals
- Helping maintain and improve marketing content, including but not limited to past project descriptions, the firm’s website, Jarrett Walker’s blog and others.
- Helping coordinate and prepare polished proposals (bids).
- Helping us find and track opportunities to submit proposals.
The job requires:
- At least 1 year of prior work experience that demonstrates some of the skills listed above.
- Complete fluency in spoken and written English, including the ability to write clearly and accurately with a friendly but professional tone.
- Ability to communicate professionally by email, web, and phone.
- Ability to do detailed and sometimes tedious tasks with a low error rate.
- Resourcefulness in solving a range of problems.
- Comfort with very open and frank communication within the organization.
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Willingness to “pitch in” and help with whatever needs to be done at the moment.
The following are highly advantageous:
- Prior experience preparing proposals or bids for professional work for government clients.
- Prior experience working in Adobe Creative Suite, ideally Photoshop and InDesign, or similar document preparation and graphics tools.
- Prior experience with accounting software, such as Quickbooks.
- Prior experience with Professional Services Automation software, such as CMap, Oracle or Deltek, or other tools designed to help track time and expenses across multiple projects.
