Seeking a versatile Administrative Assistant to support customer service, studio operations, marketing, and business coordination in a growing photography and video production company.

Job Overview

Philly Photo & Philm is a young and quickly growing company specializing in photography and video production for a variety of clients in events, marketing, schools, and sports.

We are seeking a versatile and proactive Administrative Assistant to join our team. This pivotal role combines elements of customer service, studio operations, marketing, and business coordination. The ideal candidate will be a highly organized, detail-oriented individual with a passion for both creative and operational aspects of the business.

Key Responsibilities:

Social Media & Website Management

  • Understand and represent our brands and partners.
  • Develop and create engaging content that reflects our brand identity and that of our partners.
  • Manage and grow our social media presence by responding to all online messages and engage with other online brands and potential clients.
  • Maintain and update our storefront and website to ensure an engaging user experience.

Communications

  • Create email marketing campaigns through our CRM and other mass marketing platforms
  • Maintain and update marketing lists ensuring the correct audience is receiving relevant information
  • Create proactive emails and email campaigns that inform our customers of progress, updates, and/or sales
  • Answer emails coming into our account properly and quickly or forward emails to the proper person
  • Connect with various corporate organizations around our region and solicit our services
  • Organize and maintain customer database
  • Organize and maintain company paper and digital documents.

Studio Operations:

  • Oversee day-to-day studio functions, including maintenance and organization.
  • Schedule and manage studio bookings, ensuring efficient use of space and resources.
  • Coordinate with staff and freelance photographers/videographers.
  • Plan and manage the schedules of studio staff and resources.
  • Ensure timely and efficient allocation of equipment and personnel for shoots.
  • Oversee compliance with client contracts and company policies.
  • Manage and monitor project deadlines to ensure timely delivery.

Event Participation:

  • Attend events with the photo booth, providing setup, operation, and customer interaction.
  • Promote studio services and capture event photos/videos.
  • Assist photographers/videographers on jobs

Business Tasks:

  • Oversight of Zoho One platform and applications. Manage all data entry for all aspects of business.
  • Handle tasks such as scheduling and employee records.
  • Perform accurate data entry tasks and maintain client databases.
  • Ensure all documentation is up-to-date, properly organized, categorized, labeled, and easily accessible.

Qualifications:

  • Experience in sales and marketing.
  • Proficiency in graphic design tools such as Canva, Photoshop, and Illustrator.
  • Strong understanding of social media platforms and their usage.
  • Excellent content creation and communication skills.
  • Passion for our services and products.
  • Experience in photography.
  • Ability to plan and execute marketing campaigns and promotional events.
  • Strong organizational and project management skills.

Hours and Compensation:

  • Full-time position - 32-40 hours per week.

Pay: $18.50 - $27.86 per hour
