Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is essential in providing administrative support to ensure efficient operation of the office. The ideal candidate will possess strong communication skills, proficiency in various office software, and the ability to manage multiple tasks while maintaining a high level of professionalism.
Responsibilities
- Manage front desk operations, including greeting visitors and handling incoming calls through phone systems.
- Perform administrative tasks such as scheduling appointments, managing calendars, and organizing meetings.
- Utilize QuickBooks for basic accounting tasks and financial record keeping.
- Maintain organized filing systems and ensure all documents are properly stored and accessible.
- Assist with office management duties to ensure smooth day-to-day operations.
- Proofread documents for accuracy and clarity before distribution.
- Support team members with various clerical tasks as needed, including data entry and correspondence preparation.
- Communicate effectively with clients and staff, utilizing skills when necessary.

- MLS Management: Input and update property listings accurately in the MLS system, ensuring compliance with regulations and deadlines.
Real Estate Marketing Campaigns: Assist in creating and executing targeted marketing campaigns tailored to designated buyer groups.
Online Marketing: Manage social media platforms and online marketing efforts, including creating engaging posts, scheduling content, and analyzing engagement metrics.
AI Tools Integration: Utilize AI tools to optimize marketing strategies, including content creation, lead generation, and campaign performance analysis.
Email and SMS Campaigns: Design, schedule, and send email and SMS blasts to potential clients using CRM tools to maintain engagement and track open and response rates.
Market Research: Conduct research to identify emerging trends, target audience behaviors, and competitive strategies.
Client Communication: Act as the first point of contact for inquiries generated through marketing campaigns, ensuring prompt and professional responses.
Administrative Support: Perform general office tasks, including managing calendars, organizing meetings, and maintaining records related to marketing efforts.
Data Analysis: Monitor and report the performance of marketing campaigns, providing actionable insights for continuous improvement.
Compliance: Ensure all marketing materials and communications comply with relevant laws and company policies.
Qualifications
- Proven experience as an Administrative Assistant or in a similar role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required.
- Familiarity with QuickBooks or similar accounting software is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills, with attention to detail for proofreading tasks.
