Job Description: Administrative Assistant/Communications Director

Position Overview

The Administrative Assistant/Communications Director serves as the backbone of organizational and communication efforts at Bethany Presbyterian Church, ensuring smooth administrative operations, professional communication, and alignment with the church's vision and mission. This position requires a dynamic individual with strong technical, organizational, and interpersonal skills to effectively manage the church’s communication platforms and provide critical support to church leadership.

Primary Responsibilities

These core duties are essential to the role and central to the church’s daily operations.

· Administrative Support:

· - Manage and maintain the Senior Pastor’s schedule, including appointments, meetings, and deadlines.

· - Oversee the church calendar, coordinating events, meetings, and other activities in conjunction with the Facility Coordinator.

· - Collect and organize committee reports, ensuring timely submission and accuracy.

· - Works with the Facility Coordinator to accommodate property use requests.

· - Prepare weekly bulletins and monthly newsletters ensuring all information is current and relevant.

· Church Communications:

· - Coordinate and send church-wide email communications, including updates, newsletters, and event information.

· - Maintain and update the church website, electronic signs and internal monitors with current events, announcements, and other relevant information.

· - Manage social media platforms to effectively communicate the church's vision, activities, and engagement opportunities.

· Office Management:

· - Serve as the primary point of contact for phone calls, emails, and visitors, providing a welcoming and professional presence.

· - Ensure office supplies are stocked and equipment is in working order.

· - Serve as a liaison between committees and staff to ensure smooth event execution.

Secondary Responsibilities

These tasks support the primary functions and enhance the effectiveness of the role.

· Design and Communication Tools:

· - Create digital and print materials including the Church Newsletter using Canva for church events, announcements, and ministry initiatives.

· - Maintain an organized repository of marketing materials, graphics, and templates.

· Database and Software Management:

· - Utilize Church Windows and Planning Center software to manage membership data and event registrations.

· - Prepare and distribute reports as needed for church committees and leadership teams.

· - Use Microsoft Office Suite to compose documents, spreadsheets, and presentations.

· Team Collaboration:

· - Support ministry leaders in implementing the church’s vision through communication and administrative coordination.

· - Build strong relationships with church members and volunteers to foster a sense of community and teamwork.

Tertiary Responsibilities

These duties provide additional value to the church and contribute to the overall mission.

· Event Support:

· - Assist in planning and executing church-wide events by coordinating logistics and volunteer needs.

· Data and Analytics:

· - Analyze web and social media engagement metrics to optimize communication strategies.

· - Monitor and report on the effectiveness of communication campaigns, suggesting improvements when necessary.

· Special Projects:

· - Assist the Senior Pastor and leadership team with special initiatives or projects as assigned.

· - Research and recommend tools or platforms to improve administrative efficiency or enhance communication efforts.

Qualifications and Skills

Technical Skills:

· Basic web design proficiency (e.g., WordPress or similar platforms).

· Familiarity with Canva, Church Windows or similar database software, and Microsoft Office Suite.

· Knowledge of email marketing platforms (e.g., MailChimp or Constant Contact) and social media management.

Administrative Skills:

· Exceptional organizational skills with the ability to multitask and prioritize effectively.

· Strong analytical skills to assess and improve communication strategies.

Interpersonal Skills:

· Ability to build and maintain positive relationships with staff, church members, and volunteers.

· Strong written and verbal communication skills, with attention to detail and clarity.

Additional Details

Reports to: Senior Pastor

Schedule: Tuesday – Friday 8:30 – 3:00, In Office

Compensation: Commensurate with experience and qualifications
