SUMMARY

Administrative Assistant - Communications Kelly Greens Golf & Country Club is responsible for performing administrative duties in the Executive Office, working side by side with another Administrative Assistant. Enhancing member engagement through clear, consistent communication across multiple platforms. This position reports to the Assistant General Manager and works closely with department heads to assist all member-facing content, including emails, newsletters, social media, event promotions, and website and Facebook updates. The Administrative Assistant - Communications standards, creating marketing materials, driving participation in club activities. The ideal candidate is detail-oriented, highly organized, skilled in content creation, and experienced in both digital and print communications and office function background. A background in communications, marketing, or hospitality and Administrative Office functions are required

RESPONSIBILITES AND KNOWLEDGE REQUIRED

•Administrative duties include answering phone calls, responding to members' inquiries, processing membership transfer forms, and assisting with gate passes (QR) codes.

•Work side by side with another Administrative Assistant to perform office tasks.

•Attend all Board Meetings and take meeting minutes at the Board Meetings (monthly).

•Set up and navigate Zoom at Board meetings

•Serving as editor for communications to Members, both print and digital

•Works with department heads to determine web and email blast needs.

•Actively update, maintain, and promote the Club website, Facebook, and Social

•Media Platforms using videos and other media as additional sources of communication available to capture photos for Club Events.

•Serving as the administrator for the Club's communications standards, including design, accuracy, and appropriateness of content, as well as the elimination of typographic or grammatical errors.

•Writes, composes, or edits club emails to the membership, updates, newsletters, and reminders.

•Creating professional Food & Beverage event flyers, menus, and table tents to be displayed throughout the Club, aimed at driving attendance.

•Creating and updating monthly calendars of all club events (website).

•Maintaining the Club's Member bulletin boards and digital displays.

•Completing other special projects as assigned by the Department Heads team.

•Has a robust, apparent, and respectful presence with members and team members.

•An outgoing and friendly personality with a high potential to increase member engagement at club events using videos and other media as additional sources of communication available to capture photos for Club Events.

CANDIDATE QUALIFICATIONS

•Strong attention to detail and clear communication skills in both written and verbal correspondence

•Must be outgoing, friendly, and passionate about providing exceptional customer service

•Excellent organizational and analytical skills

•Desire and willingness to work in a collaborative, flexible, and team-oriented work environment

•Ability to prioritize, multi-task, and handle confidential information in a discreet and professional manner

Minimum three (3) years of work experience in a similar role.

Experience with some or all of the following: Software: Clubessential (website) or similar, JONAS (Club Management System), Adobe Creative Suite (InDesign, Illustrator, Photoshop, Adobe Acrobat), MS Office (Word, Excel, PowerPoint, Publisher). Well versed in: Firefox/Safari, Google Chrome, Internet Explorer/Edge, HTML, Facebook, Instagram. Enjoys taking photos, videos, and creating content to share with our membership

COMPENSATION

Compensation of Base wages and annual Performance Bonus is commensurate with qualifications and experience.
