QUALIFICATIONS
High School degree; proven experience as an administrative assistant, knowledge of office management systems, proficiency in MS Office and Google Docs, excellent communication skills, and real estate license is a plus.
RESPONSIBILITIES
Answer phone calls, organize appointments, maintain filing systems, manage vendor relations, prepare listing and buyer packages, update MLS, create marketing materials, and assist brokers and managers in daily operations.

Seeking a detail-oriented Administrative Assistant to support our Real Estate Office with various clerical tasks and ensure smooth day-to-day operations.
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks for our Real Estate Office. Duties of the Administrative Assistant include providing support to our managers and agents, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include scheduling appointments, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like google docs and office tools/technology. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. A real estate licensee is a plus not a requirement. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, and forms
- Set up contract and closing files
- Develop and maintain all files in the closing process
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists and all databases
- Handle all vendors (lender, title, etc.)
- Provide general support to visitors
- Create, write, and place advertising.
- Prepare listing packages.
- Prepare buyer packages.
- Send client surveys.
- Docusign all file documents to clients.
- Prepare and deliver pre-listing packages.
- Order signs to be put up and call to have signs taken down.
- Input listings into MLS.
- Provide feature sheets and marketing materials.
- Update the MLS, websites, and feature sheets.
- Monitor website.
- Assist Broker, Manager
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Tech Savvy
- Proficiency in MS Office, Google Docs, MAC
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Bilingual preferred
- Real estate license is a plus
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 40 per week
