SHORT DESCRIPTION

Seeking an organized Administrative Assistant to support office operations and social media content creation, enhancing brand awareness and community engagement at EventThem.

EventThem is currently seeking support! In 2025, our goal is to grow programming to match our upgraded event and studios space, our vision as a company, and the impact we would like to have within our community. The Administrative Assistant is responsible for providing administrative support to ensure the efficient operation of the office. This role involves performing a variety of tasks, including handling correspondence, organizing office functions, maintaining files, assisting with scheduling, and managing daily office activities. The ideal candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced environment. They must also be a creative and results-driven social media content creator responsible for assisting in the development and implementation of our social media to increase brand awareness, engage with our audience, and drive traffic to our digital platforms. You will work closely with our marketing, content, and media team to create high-quality, engaging content and ensure consistency across all social media channels. The Administrative Assistant may also support curating exhibits and programming at EventThem Studios in Medford and at EventThem events.

Key Responsibilities:

  • Office Management:
  • Answer and direct phone calls, emails, and other inquiries
  • Vet and respond to booking inquiries
  • Maintain a clean and organized office environment; order office supplies as needed
  • Handle and process incoming and outgoing mail and packages
  • Assist in setting up meetings, studios walk-throughs, appointments
  • Research promotional opportunities and upcoming events at local venues
  • Regularly update EventThem Studios outdoor event schedule cases
  • Possibly: Update and manage internal and 3rd party websites: EventThem (events), TicketUnion (events), Peerspace, etc.

Data Entry & Reporting:

  • Prepare and proofread documents, reports, and presentations
  • Organize and prepare materials for meetings and presentations
  • Enter data into CRM databases (Salesforce) and management systems.

Social Media & Communications & Creative

  • Co-create and post (with manager) engaging and high-quality content for TikTok, Instagram, Facebook, and LinkedIn (text, images, videos, infographics, etc.) that reflects the brand’s voice and engages the target audience
  • Engage with followers, influencers, and community to enhance brand loyalty
  • Assist in the creation of monthly newsletters and promotional emails
  • Respond to social media inquiries, comments, and messages
  • Assist in the creation of promotional videos
  • Cultivate a vibrant online community through interactive content )polls, Q&A sessions, contests, etc)
  • Update upcoming event list at EventThem Studios and EventThem Productions online
  • Assist with EventThem in-house marketing team to develop creative work, including print collateral, websites, email campaigns, advertising, planning, and many related tasks

Education & Experience:

  • High school diploma or equivalent required. Associate's degree or higher preferred.
  • Some college experience in Marketing, Communications, Business, or a related field preferred
  • Proven experience as an Administrative Assistant or in other administrative roles.
  • Proven experience in social media, specifically with content creation and audience growth on TikTok and Instagram. Understanding of LinkedIn is a bonus
  • Knowledge of graphic design and video editing tools (e.g., Canva, Adobe Suite) is a plus
  • Experience with influencer marketing and social media advertising is an advantage

Working Conditions:

  • $20/hour plus profit-based bonuses
  • Monday, Wednesday, Friday: 4-8; and Saturdays 10-2 (16-20 hours a week)
  • Office environment with occasional standing, walking, and lifting
  • May require travel for events or meetings
