The Admissions Administrative Assistant will play a vital role in the recruitment and enrollment of students at the University of Michigan School of Music, Theatre, & Dance. The STMD Office of Admission strategically guides SMTD efforts in recruiting, admitting, and enrolling an artistically and academically talented, geographic, socioeconomic, and holistically diverse undergraduate and graduate class currently representing thirty one states and eleven countries. The Admissions Administrative Assistant will provide critical executive administrative, special project, and office support centered around SMTD's enrollment management plan and educational mission.

This position reports directly to the Assistant Dean of Admissions, Financial Aid & Enrollment Management. As a key member within the Enrollment Management team, the Admissions Administrative Assistant will work closely with offices including but not limited to the Office of Undergraduate Admissions, the Office of Financial Aid, Rackham Graduate School, and SMTD Advancement and Marketing. The ideal candidate will have a deep commitment to student success, a dedication to working with applicants from diverse backgrounds, and the adeptness to navigate technologies used to support student recruitment and enrollment.

Responsibilities*

Executive Administrative Support (60%)

  • Manage Asst. Dean's calendar; coordinate complex calendars including scheduling meetings and conference calls, exercising discretion and judgment as it relates to accepting invitations and setting meetings; schedule Admissions team meetings.
  • Help manage Asst. Dean's email; prepare, draft, edit, and finalize emails and communications, including proposals, letters, memos, presentations, meeting minutes, or other materials.
  • Prepare for upcoming meetings and deadlines; anticipate needs, provide preparation materials; prepare follow up meeting notes and action items, track items to ensure completion; facilitate arrangements for guest presenters.
  • Make travel arrangements; prepare agenda accordingly.
  • Prepare expense reports for the Asst. Dean; obtain receipts and submit reports.
  • Extract and compile data, create reports as needed.

Admissions Administrative Support (40%)

  • Represent the office in a professional manner; engage with walk in visitors such as staff, faculty, students, and prospective student visitors.
  • Manage office supplies, order as needed; report to faculties any issues with office space or requests for space.
  • Process Admissions financial transactions and invoices; reconcile admissions accounts, investigate any finance issues, and provide finance reports when needed.
  • As needed, assist with processes related to applications, i.e., processing hard copy and electronic credentials.
  • Manage the annual admissions reports, ensure completed and submitted on time.
  • Assist with ad-hoc projects, as needed.

Required Qualifications*

  • Bachelor's degree from an accredited college or university.
  • Excellent organizational, problem-solving, and interpersonal skills including the ability to work collaboratively in a team environment is necessary.
  • Candidates must have the ability to communicate effectively with all levels of personnel as well as with prospective students and families. Strong written and oral communication skills are essential, including the ability to exercise tact and diplomacy, and the ability to maintain confidentiality in matters of a sensitive or confidential nature. Must have the ability to think clearly and speak effectively in difficult situations.
  • Ability to work with sensitive information, maintain confidentiality and use discretion.
  • Ability to pay close attention to detail; keep and maintain accurate and detailed reports and records.
  • Ability to meet deadlines, work under pressure and with frequent interruptions.
  • Ability to prioritize work and handle multiple tasks simultaneously.
  • This position routinely moves promotional materials weighing up to 50 lbs to various locations.

Desired Qualifications*

  • Experience in, and/or understanding of music, theatre, and/or dance.
  • An understanding and appreciation of higher education and the diverse cultures of the schools and colleges within the University.
