Job Description
SUMMARY OF DUTIES AND RESPONSIBILITIES
This position intends to combine the duties of Community Advisory Board Liaison with an Employee Engagement role. Employee Engagement plays a crucial role in any organization, responsible for creating a positive employee experiences that contribute to higher performance and retention rates. Excellent communication, interpersonal, and problem-solving skills are critical. It's important to be creative, adaptable, and passionate about improving the employee experience. Strong project management and data analysis skills are also valuable.
Community Advisory Board Liaison
Duties include, though are not limited to:
- Arrange and attend all monthly Community Advisory Board (CAB) meetings, including scheduling space, arranging meals for in-person events, preparing the Agenda, minutes, and any other literature necessary.
- Provide administrative support to the CAB so that it operates as effectively and efficiently as possible, and implement corrective actions when policies are not being adhered to.
- Maintain good understanding of the CAB bylaws and other policies pertinent to the CAB operations and recognize instances when guidelines are not being followed.
- Address CAB issues as they arise, including the development and implementation of a corrective action plan.
- Assist the CAB in organizing and preparing the Annual Public Meeting, the Annual Legislative Meeting and the Annual Legislative Albany Trip.
Employee Engagement Administrative Support
Duties include, though are not limited to:
- Develop and implement strategies to increase employee morale and retention.
- Conduct surveys and gather feedback to understand employee satisfaction levels.
- Collaborate with other departments to create initiatives and programs that promote employee engagement creating and maintaining spread-sheets and presentations; creating letters; distribution of incoming mail, faxes, reports and other documents; maintaining appropriate stock levels of office supplies: ordering office supplies and other material; scheduling appointments; organizing meetings and various other functions.
- Recognize and reward employees for exceptional work and contributions.
- Analyze trends and adjust engagement strategies as necessary. Coordinate programs including wellness initiatives, team-building events, leadership training, mentoring, career development, recognition and rewards programs, surveys, and communication strategies.
- File, maintain, arrange for storage, retrieve or reproduce documents, records, and reports.
- Coordinate special projects as assigned by Director.
- Promptly and courteously answer and screen phone calls for the office or department; route calls as appropriate; accurately record messages and deliver to the appropriate party in a timely manner.
- Greet visitors, guests promptly and courteously; ascertain needs and assist, and if unable or unqualified to assist, promptly refer to the appropriate party or department.
- Coordinate Inclusion, Diversity, Equity and Accessibility activities, including designing and disseminating information to all employees.
- Serve as Patient Eelations point person during the absence of the Director of Patient Relations.
Procurement
Duties include, though are not limited to:
- Prepare requisitions through PeopleSoft Supply applications.
- Create purchase orders, scan, e-file, and maintain accurate and well-organized electronic records; file and maintain hard copy files.
- Enter vendor information, monitor and track submitted requisitions.
- Review information, including summarization, analysis, interpretation and re-presentation in a different format. Obtain signatures for requisition approvals and payments.
- Maintain inventory of equipment and supplies.
- Support the facility as Superuser PeopleSoft Supply Chain.
- Other related duties as assigned and directed by Director of Employee Engagement and Wellness.
Minimum Qualifications
1. A Baccalaureate degree from an accredited college or university with a major in Social Science, Social Work, Public Health or related discipline and three (3) years of full-time, progressively responsible experience in the field of community relations, community organization, public health and/or social services in a public or private social or health agency; or
2. A satisfactory equivalent combination of training, education and/or experience. However, all candidates must have minimum of a four-year high school diploma or its educational equivalent approved by a State’s Department of Education or a recognized accrediting agency.
