RESPONSIBILITIES

Coordinate logistics for travel programs, manage budgets and invoices, research destinations and suppliers, collaborate with marketing on program materials, provide on-site support, and build relationships with vendors.

Job Summary:

Support the planning, coordination, and execution of logistics for incentive travel programs and meetings, focusing on learning and growing within the field of travel management.


Duties and Responsibilities:

  • Assist in coordinating logistics for small and large group travel programs.
  • Support the creation and management of budgets, invoices, and cost reports.
  • Assist with researching and selecting destinations, venues, and suppliers.
  • Working with our Marketing department to create inspiring program designs and creative copy writing for all program materials
  • Create and manage budgets
  • Site selection
  • Coordinate program registration, including managing registration websites.
  • Compile and organize presentation materials and program reports.
  • Excel costing sheets, including basic formulas
  • Build and maintain relationships with vendors, hotels, and DM
  • Gain hands-on experience with vendor negotiations and client interaction.
  • Provide on-site support during program execution.
  • Negotiating with Vendors
  • Client relationship management / new business development
  • Desire for travel

Requirements and Qualifications:

  • Education: Graduate or Equivalent to High School Diploma required. Associates or Bachelor’s in Events Industry preferred.
  • A minimum of three (3) years of creating, planning and delivering innovative and profitable incentive group travel programs is preferred.
  • Certification: CMP or event management certification a plus.
  • Travel: Must be willing to travel / Passport required

Key Skills & Experience:

  • 2-3 years of experience in event management, travel coordination, or related fields.
  • Project management skills, including simple budget tracking and task management.
  • Conference, meeting and production management experience a plus
  • Highly organized with strong attention to detail.
  • Strong interpersonal and communication skills.
  • Excellent supplier knowledge and negotiating skills
  • Adaptability to situations and ever changing demands
  • Accessible and responsive, including off peak hours
  • Calm and flexible approach to handling pressure and stress
  • Willingness to learn and adapt to new responsibilities and challenges.
  • A team player with a proactive, solution-focused mindset.
  • Proficiency in MS Office Suite; familiarity with Cvent or similar platforms a plus.

Physical Requirements

  • Travel requirement – Conferences upon request/ additional company offices if needed
  • Ability to lift 10 pounds (laptop for remote work)
  • Must be able to remain in a stationary position 90% of the time.
  • Move about inside the office for meetings and to access office equipment
  • Ability to sit for long periods of time at a computer utilizing a phone with headset
  • Operate a keyboard for system access and email communication
  • Position primarily communicates verbally with clients through phone and call

center software.
