The Associate Director of Alumni and Donor Engagement will strategize to enhance engagement and stewardship for UIndy alumni and donors, promoting events and crafting compelling communications while managing a team of student workers.
Job Description
The Associate Director of Alumni and Donor Engagement will work closely with the Director of Alumni and Donor Engagement to develop and implement a strategic plan that will engage, cultivate, and steward UIndy alumni and donors to help meet the goals of the Office of Advancement. The Associate Director will help maintain and enhance alumni engagement opportunities and stewardship operations. Primary responsibilities include managing the alumni social media accounts; helping to plan, promote, and staff events; crafting donor-centric messages and engaging content for social media, videos, emails, other alumni and donor communications; overseeing the acquisition of student scholarship recipient thank you notes for endowed fund donors; increasing young alumni engagement opportunities; managing a team of student workers, and assisting with general operations within the alumni and stewardship office.
Requirements/Minimum Qualifications:
- Bachelor’s degree required (preferably in Communications, English, Public Relations or related field)
- Experience in social media and event management preferred
- Office experience working with a small office team, proficiency with Microsoft Word, Excel, Google Workspace, and Customer Relations Management Databases

- Follow the guidance and direction of supervisor(s).
- Demonstrate respectful, ethical, responsible behavior.
- Abide by the University’s policies, procedures, and rules.
- Perform employee responsibilities as detailed in employee handbooks and policies.
- Demonstrate regular and predictable attendance and punctuality.
Essential Functions:
- Manage the UIndy Alumni Association social media accounts by creating a strategic social media plan and engaging content.
- Help with the promotion, set-up, run-of-show, and tear-down of alumni and donor events (some evenings and weekends required).
- Write, design, and send targeted emails to alumni and donors promoting UIndy events, UIndy updates, etc. (ie. monthly newsletter.)
- Coordinate the acquisition of thank you notes from student scholarship recipients for endowed fund reports, stewardship marketing, and other Office of Advancement needs.
- Effectively use storytelling to craft compelling donor-centric stewardship messages and videos.
- Develop and coordinate video content to showcase gift impact and upcoming events.
- Promote the University of Indianapolis Specialty License Plate through emails and mailings.
- Collaborate with Advancement staff to pull donor data and lists from Raiser’s Edge for stewardship purposes and ensure constituent bio/demo updates are made.
- Manage a team of student employees to ensure tasks such as videos, emails, notecards, birthday cards, and social media posts are being completed accurately and professionally.
- Help develop young alumni engagement opportunities.
- Work with the Office of Marketing and Communications to help create marketing content for alumni and/or donor events, programs, reunions, anniversaries, and the advancement website.
- Assist with coordinating targeted mailings for the UIndy Alumni Association and endowed fund contacts.
- Assist in updating stewardship letters annually.
- Manage the Alumni Association email account and reply or forward messages as needed.
- Assist as needed with UIndy Day, Giving Tuesday, and other crowdfunding campaigns that may arise.
- Assist Associate Director of Annual Giving with the promotion of other advancement initiatives such as the new employee orientations, employer matching gift program, and student philanthropy education.
- Collaborate with Alumni Engagement, Advancement, and Athletic staff to maintain an integrated communication calendar.
- Assist with the alumni award processes, promotions, and events.
- Assist with departmental reunions, anniversaries, events as needed.
- Help Director review and implement a stewardship matrix, including communication for giving societies, to help ensure engagement efforts are occurring consistently.
- Assist with maintaining general stewardship and alumni promotional gift items.
- Participate in Alumni Board meetings.
- Gain proficiency in Raiser’s Edge and a greater understanding of the data that is stored in order to more effectively use reports, queries, and exports.
- Help gather and consolidate data to track the success of engagement efforts.
- Work cooperatively and collaboratively with other employees in the spirit of teamwork and collegiality to advance University fundraising goals and comply with University policies and guidelines.
- Perform other duties as assigned, including some nights and weekends. As the organization continues to evolve, duties or tasks may change without impacting the overall job description.
