Job Summary
We are seeking a detail-oriented Administrative Project Coordinator to support our dynamic team in managing multiple, complex, and community-based projects. The ideal candidate will act as a key support pillar to project and program managers for the Center for Health and Research Transformation's (CHRT) Health and Social Equity team, ensuring the smooth and efficient execution of large community-level systems change projects and initiatives. This role will include interfacing with and coordinating efforts of a wide range of internal and external stakeholders in health, social-service, and community resident sectors. This position reports to the WHI Senior Project Manager.

Responsibilities*
Key Responsibilities:
90% Project Coordination and Administrative Support
- Provide complex scheduling support with external and/or internal participants by coordinating meetings across multiple organizations, large groups, and high-level participants. Confirm attendance and distribute meeting materials electronically.
- With support from project managers, build and share meeting agendas, document meeting minutes, and communicate with meeting attendees in a timely manner. Ensure appropriate materials are included with the agendas.
- Systematically document and monitor follow ups and responsible parties and ensure completion of follow ups prior to the next meeting.
- Maintain and monitor project plans with approval from the appropriate project/program manager.
- Work closely with appropriate project/program manager to develop, plan, and execute program events and meetings by managing logistics such as coordination with externals vendors, preparation of event materials, communication with attendees, and management of follow up items.
10% Communications

In partnership with the Communications Team:
- Format and publish communication materials for a variety of media including website content, email blasts, and social media campaigns.
- Manage multiple email marketing campaigns (via Constant Contact and MCommunity) including formatting messages, scheduling delivery, and managing distribution lists.
- Work with vendors, such as printers, to request quotes and support production needs for communication materials such as brochures, reports, and other communications materials.
Required Qualifications*
- Associates Degree, preferably in Project Management, Business Administration, Healthcare Services Administration, or a related field.
- 1-3 years of general administrative experience.
- 1-3 years of demonstrated experience in project coordination or a related role, preferably handling multiple complex projects simultaneously.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.

Profifiency in technology platforms including:
- Microsoft Office (Outlook Shared Calendar Management, Word (Advanced Skills), PowerPoint (Advanced Skills), and Excel.
- Virtual Meeting Platforms (Zoom and Microsoft Teams)
- File Organization and Management (Windows, Google Drive, OneDrive, Dropbox, etc.)
Desired Qualifications*
- Experience utilizing website Content Management Systems and web-based mass communication platforms. (WordPress and Constant Contact)
- Proficiency in project management software and tools (e.g., Microsoft Project, Monday.com, Trello).
