Church Administrator
Overview
As the Church Administrator, this position will be responsible for overseeing and managing the daily administrative operations of the church, which includes, but is not limited to overseeing volunteers; working with the different ministries to ensure they carry out their defined mission, managing the church schedule of events; being a conduit to the community, and ensuring the effective use of resources. Strong leadership skills are essential. This leadership role requires strategic planning, excellent communication and interpersonal skills, multi-tasking abilities and the ability to effectively manage teams and projects. The ideal candidate is professional, proficient, detailed oriented, possesses impressive organizational and computer skills, and a commitment to confidentiality. Operations and Project Management skills are a plus.
Summary of Responsibilities
- Manage the day-to-day administration of the Victory for the World Church.
- Develop and implement systems that increase the effectiveness of the coordinators and ministries.
- Attend all major church functions and services. Be available after Sunday worship as required.
- Facilitate and attend weekly staff meetings. Including, with Office Staff’s input, prepare weekly staff meeting agenda, collect and prepare ministries weekly reports for staff meeting, updating and distributing all documents needed for staff meetings.
- Work with Church Staff to set the church calendar three months in advance. Include every meeting, every function, etc. and present and update the calendar in the weekly staff meeting.
- Work with the Minister of Music to present the Order of Worship and the announcements during the weekly staff meetings.
- Work with the Buildings and Grounds Manager to schedule and monitor all access and activities on the church property.
- Provide alerts and follow-up to communicate church goals, objectives, tasks and assignments as approved in staff meetings.
- Create, or work with the creator, to produce requested flyers in a timely manner. Present all flyers to staff for approval before being printed and distributed.
- Send weekly updates, flyers and maintenance of the Victory for the World website, Facebook, Instagram or any other electronic social media outlet to appropriate staff members or volunteers.
- Schedule, facilitate and attend all coordinating council meetings.
- Coordinate with Ministries concerning scheduling events and meetings. Ensure all forms and vouchers are submitted as needed. Present weekly event and room assignment status reports in staff meeting.
- Serve as the primary contact person for all ministry coordinators and provide ministry coordinators with all necessary administrative and logistical assistance for the ongoing operations of all church ministries.
- Recruit, schedule, supervise, train and prepare assignments for volunteers approved to assist with church initiatives or your job. Plan volunteer meetings and review/approve all tasks completed by volunteers.
- Establish and maintain relationships with local community groups to support church objectives, and drive community engagement.
- Act in a confidential capacity with the Pastor to manage external and internal inquiries from the public, members, and employees.
- Coordinate with the Pastor and Media team to produce weekly Bible Study.
- Prepare, set up and display presentations and documents for church meetings/functions.
- Report safety and security initiatives.
Qualifications/Experience
- Bachelor’s degree or equivalent with 3+ years of progressive church leadership experience.
- Excellent computer skills. Must be proficient with Outlook, MS Office Suite (i.e., Power Point, Excel, Word, Access, Publisher etc.) Canva, Adobe, Facebook, Instagram, YouTube, Dropbox, WordPress. Zoom, Google Calendar, Eventbrite, Restream, Emobile Text or other such platforms. Must be willing to demonstrate skill level.
- Effective team building, interpersonal and conflict resolution skills.
- Exceptional communication skills, both written and verbal.
- High level of organizational skills and commitment to confidentiality.
- Operations and Project Management experience is a plus.
