The Community Administrator manages the day-to-day operations of Hearthstone Lodge, ensuring high occupancy and rental income while maintaining property standards and resident satisfaction.

Hearthstone Lodge Senior Living is looking for an experienced Community Administrator to join our team. This position is full time, benefit eligible.

Job Summary:

The Community Administrator oversees the day-to-day operations of the apartment community. This position is responsible for working with the Division Director to achieve the highest possible rental income, occupancy, and the lowest possible property expenses according to the building’s approved budget and management plan. The Community Administrator shall provide the highest standards of management to their assigned community. The Community Administrator shall be guided by the policies, procedures and direction from RSI regional property managers, appropriate administrative personnel, and corporate executives.

Job Duties:

  • Be proficient in and able to train staff on all software used in the management of the community.
  • Ensure the accurate and prompt collection of income and deposits.
  • Oversee and/or prepare the distribution of all 3-Day Notices and legal documents as required for unlawful detainers or 30-Day Notices, after discussing need with Division Director.
  • Review all new rental and credit applications for approval. Works closely with the Division Director if to ensure that all applications are in line with requirements.
  • Be familiar with all procedures and requirements of accounts payable and accounts receivable.
  • Oversees accurate and timely time keeping records for all staff.
  • Ensues onsite teams adhere to Ray Stone policies, procedures and best practice.
  • Market the community and oversee leasing duties to achieve the highest possible occupancy. Assists the Marketing Director as needed.
  • Works closing with the Director of Marketing to review and/or implement marketing plans on a regular basis.
  • Facilitates ongoing training to onsite team on maintaining cleanliness, safety, proper decorum throughout the community and with the residents.
  • Ensures a high overall common area maintenance and property curb appeal.
  • Resolve resident problems expeditiously. Escalates to Division Director when necessary.
  • Enforce the community policies to ensure quality living standards in the community.
  • Coordinate the inspections of all vacant rent ready units and common areas.
  • Supervise and coordinate the maintenance of the vacant units and common areas.
  • Proactively manages the needs and concerns of the community as they pertain to both administrative and physical operations.
  • Conduct and monitor monthly training on safety, IIPP and WVPP as directed by the Ray Stone Corporate Office.

  • 3 Years of experience working with the Senior population
  • 3 Years of experience in Residential Property Management
  • 3 Years experience in leasing, marketing and/or sales
  • 1 Year of experience in people management and leadership
  • Customer Service
  • Yardi Experience preferred
  • Valid CA Driver's License

While performing the duties of this job, the employee is regularly required to walk, stand; and use hands to handle/lift objects. The employee occasionally must be able to lift to fifty (50) pounds. Additionally, the employee, on occasion, must crouch, kneel, or climb stairs.

Most work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. This position requires substantial movements (motions) of the wrists, hands and/or fingers. Must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.

Must have the ability to walk short distances.
