Seeking a Dental Office Manager to optimize operations, manage a team, and enhance patient experiences at Vibrant Dentistry in Matthews, NC.

Position Overview

We are seeking an experienced Dental Office Manager to oversee and optimize the day-to-day operations of Vibrant Dentistry. This role is essential for maintaining efficiency, ensuring exceptional patient experiences, and supporting the growth of our practice. The ideal candidate will possess strong leadership skills, a deep understanding of dental office operations, and the ability to inspire and manage a team.

Key Responsibilities

As the Dental Office Manager, you will oversee staff, support dentists and other team members, and ensure the success of the practice by managing the following:

1. Operational Management

  • Oversee daily office operations to ensure efficiency and compliance with regulations.
  • Monitor office supplies, dental tools, and inventory, ensuring timely replenishment.
  • Generate and analyze monthly reports to track performance metrics and guide decision-making.
  • Ensure timely submission of expenses and invoices through electronic systems.
  • Maintain detailed knowledge of patient care and business operations to make informed decisions.

2. Team Leadership

  • Supervise and support all office personnel, including patient coordinators, hygienists, dental assistants, and sterilization techs.
  • Recruit, hire, train, and coach staff to foster professional growth and maintain a harmonious work environment.
  • Organize regular team meetings to align goals and address challenges.
  • Create and promote a teamwork-oriented culture.

3. Patient Relations and Support

  • Address patient concerns, ensuring satisfaction and retention.
  • Assist with treatment planning, billing, and insurance matters in collaboration with dentists and team members.
  • Represent the practice at community marketing events to enhance visibility and reputation.

4. Financial Oversight

  • Monitor budgets and manage accounts payable/receivable to ensure profitability.
  • Review financial reports, identify areas for improvement, and implement cost-effective strategies.

5. Additional Duties

  • Respond to inquiries from doctors, patients, and employees.
  • Perform general office duties and take on other responsibilities as required to ensure practice success.

Requirements

Essential Qualifications

  • 2+ years of management experience, preferably in a dental setting.
  • 3–5 years of front office dental experience (preferred).
  • Proficiency in dental office software (e.g., Dentrix, Eaglesoft) and Microsoft Office Suite.
  • Strong knowledge of dental office procedures, terminology, and insurance processes.
  • Demonstrated ability to organize, prioritize, and meet deadlines.
  • Strong interpersonal, communication, and presentation skills.
  • Proven ability to work independently and collaboratively within a team environment.
