The Development Assistant will support fundraising strategies in Northern California, providing operational infrastructure for the development team while ensuring effective communication and coordination for donor relations and event planning.

Status: Full-Time, Non Exempt

Salary: $50,000/annually ($27.47/hour) (S1/B1)

Reports To: Associate Director of Development, Northern California

Start Date: Immediate

Position Description:

Facing History & Ourselves is a global education non-profit organization that challenges teachers and students to use lessons of history to stand up to bigotry and hate.

We are seeking an energetic and detail-oriented Development Assistant, who will help to support fundraising strategies in the Northern California region that will significantly expand the revenue base of the organization. The Development Assistant provides effective administrative and operational infrastructure support for the Bay Area development team, including the Associate Development Director and Development Director.

The Assistant will work closely with the development team to provide logistical and communications support for fundraising, advisory board, and outreach efforts. This position is responsible for coordination and execution of operational and administrative tasks, and will be responsible for data integrity in Salesforce, including data entry and maintenance, and donor pipeline report generation. This individual will act as a key member of the development team, preparing for weekly meetings, generating financial and pipeline reports and generally keeping the team communication strong and consistent.

Facing History San Francisco Bay Area is in our 27th year and has grown our fundraising efforts significantly in recent years. The Development Assistant will play a key role in supporting our continued growth in Northern California.

San Francisco Bay Area Development Efforts

  • Manage regional donation tracking system to ensure gifts and pledges are tracked accurately, acknowledgment letters and thank you calls are made in a timely manner; assist in sending out acknowledgment letters and other development mailings; manage digital files per office protocol

  • Check office mailbox weekly and process any checks that come in, communicate receipt of mail to any applicable members of the team

  • Provide data entry and other administrative support in Salesforce; ensure Salesforce records are up to date and accurate. Run, maintain and distribute weekly reports for the SFBA team or upon request

  • Support the development team and volunteer leadership in scheduling and preparing for donor meetings and other related donor contacts/events. Assist in logging donor meeting notes in Salesforce and help keep track of next steps by pulling relevant reports

  • Participate in the cultivation and stewardship of grassroots donors through regional communications and national appeals

  • Assist in creation and distribution of marketing materials used for donor cultivation and stewardship

  • Become familiar with regional fundraising priorities and assist in pulling updates on goals progress under the direction of the development team

  • Conduct prospect research as needed

Events

  • Support regional development team and organizational special events team to ensure successful planning and execution of fundraising, cultivation, and stewardship events and all related activities. Responsibilities include: supporting the invitation process and post-event thank you coordination, tracking registrations and gifts, running and circulating reports, physical event set up, guest greeting, vendor management

  • Ensure that all event information is accurately updated and tracked on the organizational calendar, the events database and in Salesforce

  • Assist in weekly fundraising and registration progress reports to hosts and necessary staff

  • Manage registration process for regional events

  • Help track necessary follow up by staff, event leadership and Northern California advisory board members

  • Assist with volunteer recruitment, training and management for large fundraising events Northern California Advisory Board

  • Provide support to the development team for the NorCal advisory board and its subcommittees. Responsibilities include: organizing logistics for advisory board meetings, providing technical support, tracking attendance and taking detailed notes, updating Salesforce as needed and completing other tasks as requested (note: at this time, Board meetings are largely virtual.)

  • Maintain current contact lists for advisory board members & share gift updates with board members regularly throughout the year

  • Manage board roster and board email groups to ensure accuracy of board member contact information

  • Work or internship experience in administrative style support/non-profit/event settings preferred

  • Exceptional organizational skills with strong attention to detail are a must

  • Creative energy, self-starting, and the ability to organize and manage multiple assignments in a busy non-profit setting

  • Interest in, and ability to articulate, the mission of Facing History and Ourselves

  • Familiarity and comfort with database management; Salesforce knowledge preferred

  • Strong written and oral communication skills

  • Excellent computer skills, including experience with Google suite and Microsoft Office suite; experience with Zoom preferred

  • Ability to work individually and as a member of a team; flexibility; comfort and ability to work in remote environment

  • Familiarity with education/non-profit settings preferred

Hybrid Work Model: Facing History and Ourselves operates in a hybrid work model, allowing staff flexibility in both schedules and work locations. This particular position is attached to the Northern California office (in Oakland) and requires in-person and in-office work as needed, but will otherwise work from home, though you may access an office work space whenever needed. Some travel is required.
