SHORT DESCRIPTION

The Director of Admissions (DOA) will lead admissions efforts, manage recruiting staff, and ensure prospective students are effectively processed through the admissions pipeline at Pillar College.

Description:

We are seeking a Director of Admissions (DOA). The Director of Admissions (DOA) is a full-time position under the supervision of the Vice President of Enrollment Services. The DOA manages and directs the Office of Admissions and the Student
Admissions Recruiters for all 3 Pillar College campuses, and future sites. In this role the DOA is responsible for accomplishing the Admissions Office objectives of the college, beginning with attracting new leads, and processing prospective students through application, acceptance and first semester enrollment. The DOA works closely with the Director of Student Service Center who ensures the students receive the appropriate financial aid packaging and advising.

Other activities of the DOA include overseeing and assisting the Admissions Team with student interviews, coaching and leadership development of staff, goals and calendar planning, budgeting, providing the President with ongoing monthly enrollment reports, recruiting prospective students and assisting with enrollment processing and office management as needed to meet the department’s goals.

The DOA will also be responsible for coordinating and planning special events for admissions promotion and recruiting. Additionally, the DOA works closely with the Marketing Director for strategies on media, print, television, website, and radio marketing for admissions.

With the assistance and support of the VP of Enrollment Services, the DOA leads and manages the
Admissions Team in the following ways:

1. Recommends and participates in the hiring of highly competent Admissions Recruiters.
2. Coaches and provides professional development (ongoing training)
3. Team building
4. Problem-solving

5. Goal-setting
6. Performance evaluations
7. Manages roles and team dynamics of multiple extension sites (Newark, Somerset, Paterson, etc.).
8. Maintains an effective system of communication and teamwork throughout the admissions office.
9. Serves as a mentor to Admissions Recruiters in order to train and develop them into top performing team members.
10. Creates a climate of positive, proactive morale and is personally involved in helping staff achieve their student recruitment goals,
11. Leads in motivating, encouraging, and discussing key issues and concerns with Student

Admissions Recruiters
12. Handles additional duties as assigned.


Administration

Daily Admissions Team administrative tasks include (doing or overseeing):

1. Making follow-up calls,
2. Student interviews,
3. File management and fulfillment duties for student enrollment,
4. Assisting with various forms of correspondence with schools, churches, students, and community leaders,
5. Attending, planning, and/or facilitating ongoing, various meetings (administrative, organizational, leadership, training, and strategic planning meetings).
6. Reporting, managing and developing a longitudinal funnel for the President.
7. The DOA assists with the ongoing budgetary management of the Admissions Department to ensure responsible fiscal spending, allocation of resources, and investment opportunities.
Ongoing analysis, review, and forecasting with the assistance of the President, VP of
Finance, and VP of Enrollment Services should be expected.


Recruitment

The DOA plans, organizes, staffs, participates, and evaluates various recruiting events at churches, high schools, trade schools, business events, community colleges, and conferences. The DOA effectively plans and manages a 12-month calendar of prospective recruiting events to best assess
ROI, effectiveness, and lead generation/conversion probability. On an on-going basis, the DOA:

1. Serves as the Senior Recruiter for the department and oversees new student interviews.
2. Handles all phases of admissions process and is responsible with the Marketing Director for generating prospects and new student enrollments.
3. Provides Day-to-Day management of the recruitment efforts
4. Keeps consistent and accurate records of prospective student contacts within Database.
5. Reports staff’s daily activity while achieving personal enrollment goals.
6. Maintains and achieves team and individual goals for the month, quarter and year that drive enrollment to meet annual targets.

Requirements:

QUALIFICATIONS:

Experience:

  • Outstanding interpersonal and relational skills
  • Competence in organizational leadership, recruiting and team-building.
  • Computer skills and knowledge of database program (CampusVue) preferred.
  • Excellent written and oral communication skills.
  • 3 years of leadership in a higher education institution.
  • Marketing, sales, financial aid and telemarketing background/experience is preferred.

Education:

  • Master’s Degree strongly preferred

PHYSICAL DEMANDS:

Approximately 60% of the time will be spent “internally” overseeing the management and administrative functions of the job. Approximately 40% of the time the DOA will be in the community, meeting with leaders, pastors, administrators, at various events networking, recruiting, engaging prospective students, and building relationships with community partners, media, high school principals, etc.

Some evening and weekend hours will be required. The DOA will at times have to set-up and break- down conference presentations and carry heavy equipment and literature on- and off-site (with staff).
Additionally, the DOA will also have to drive to respective events and meetings. Mileage reimbursement available.
