SHORT DESCRIPTION
The Director of Enrollment Operations leads inquiry and application processing, manages admissions systems, and optimizes recruitment activities to align with university goals at Mount Mary University.
Position Summary:
The Director of Enrollment Operations oversees all aspects of inquiry and application processing including the generation and distribution of the office's communication flows.
Primary Responsibilities:
- Serve as the functional lead for admissions systems, including CRM Slate and Jenzabar.
- Develops shared query libraries, templates, reports, and dashboards for staff to track prospects, applicants, parents, and volunteers
- Creates, designs, and manages reports to share with internal and external constituencies
- Seeks opportunities to optimize Slate and leverage data to identify issues, questions, and new approaches in our recruitment activities
- Maintains data integrity across all systems; monitors reports and processes for accuracy and efficiency. Correct errors and communicate with staff regarding questions about the data.
- Collaborates with colleagues to enhance and standardize enrollment processes, ensuring alignment with admissions and university goals
- Documents processes related to application management, systems, and reporting
- Takes the lead on training new and veteran Slate users
- Oversee change management processes and routine system upgrades and liaise with IT staff on system integration and technology enhancements.
- Hire, train, support and supervise the staff members that comprise the Operations Team.
- Collaborate with the members of the Enrollment Services Leadership Team in the professional development of the unit's staff.
- Facilitate projects as assigned by the Vice President for Enrollment Services and in collaboration with the Director of Undergraduate Admissions, Director of Graduate Admissions, Recruitment Marketing Coordinator, and Visitor Services Coordinator.
- Identify and pursue ongoing training opportunities as a means of continually assessing and improving use of technologies. Study areas in Slate and Jenzabar that are underutilized and/or could be used more efficiently.
- Communicate with staff on changes to processes in the database.
- Under the direction of the Vice President for Enrollment Services, analyze and interpret enrollment data.
- Collaborate with the Vice President for Enrollment Services in the creation of dashboards for the real-time tracking of recruitment metrics. Create and edit SQL queries through the use of SSMS and embed in Excel.
- Create and alter communication series and provide data extracts and reports.
- Serve as a member on various Jenzabar and Slate user groups.
- Coordinate the management of vendor database upgrades with software providers.
- Oversee data imports from third party sources (Common App, OTCAS, DICAS, prospect name purchases, etc.)
- Serve as liaison with third-party vendors, such as Constant Contact, Laserfiche and Mongoose, regarding support needs, customization and training.
- Create and revise current documentation on processes and procedures, including admissions handbook, application data entry procedures, transcript data entry procedures.
- Provide support for data entry and processing.
- Participate in all meetings as required.
Skills and Experience:
- Bachelor's degree required.
- Familiarity with Slate, Jenzabar, and SQL preferred.
- Strong verbal and written communication skills.
- Strong interpersonal, organizational, critical thinking and problem solving skills necessary.
- Ability to work independently and/or with minimal supervision.
- Strong Computer and Microsoft Office experience: Outlook, Excel, Power Point etc.
