Education Program Coordinator II - Fellowships
Position Description:
As an Education Program Coordiantor II in Pediatrics you will coordinate department/practice subspecialty fellowship program(s) by coordinating recruitment and onboarding for incoming trainees, scheduling events, maintaining educational information pertinent to the training record, and ensuring compliance guidelines are followed, under close supervision. Supports educational objectives by tracking and communicating information related to the programs and trainees. This role also involves assisting in the development of education and recruitment materials per institutional and national guidelines and recommendations.
Primary Functions
- Responsible for the day-to-day and strategic initiatives and activities of multiple departmental/practice fellowship programs. Develop and implement the recruitment, interview, orientation, graduation and other fellowship program activities.
- Collaborate on the development of program materials including educational materials, marketing materials, websites, forms, and reports.
- Work with fellowship program directors to develop, implement, and maintain comprehensive databases and files related to the program.
- Provide input on program design.
- Participate in the development of program resources through literature searches, contact with outside programs, and review and solicitation of funding opportunities.
- Maintain program timeline including tracking deadlines for program components.
- Organize internal and external meetings, site visits, and special events.
- Oversee maintenance of databases and create requested reports including those needed for accreditation visits. Collect, analyze, and disseminate program data and progress to stakeholders.
- Participate on appropriate committees relevant to the advancement of the program and the profession.
- Work with departmental/practice Fellowship Program Directors on improving centralized coordination efforts.
- Facilitate sharing of best practices across departmental/practice fellowship programs.
- Integrate and coordinate programs in conjunction with external policies and regulations.
- Develop processes to ensure program compliance with internal and external policies and regulations.
- Coordinate special projects for the Office of Medical Education in compliance with relevant ACGME standards for medical education. Respond to inquiries in a timely fashion, forwarding issues appropriately to program leadership and providing support in responding.
- Assess and identify program needs and develop education programs and courses. In consultation with the program and Office of Medical Education leadership, facilitate the development and implementation of performance-based objectives, educational interventions and assessment tools including but not limited to Objective Structured Clinical Examinations, Brief Structured Observations, direct observations, technology-based interventions and survey instruments.
- In consultation with the Vice Chair of Education, Director of Medical Education, and in collaboration with the Fellowship Directors, assist with, design and conduct evaluation of the educational programs focused on developing benchmark practices.
- Schedule people and material resources for educational programs including but not limited to objective structured clinical examinations, simulation exercises, didactic sessions, and computer-based educational tools.
- Coordinate training for program participants and, in collaboration with appropriate personnel conduct necessary training.
- Coordinate and manage program outreach activities including acting as a liaison with community organizations.
- Collaborate with Fellowship Program Manager, Director of Medical Education, and clinical Division Administrator(s) on budgetary matters such as supporting fellowship reimbursement for travel to scholarly meetings and away global rotations, as well as understand division allowances for funding provided by hospital affiliate.
- Troubleshoot problems and advocate for fellows.
- In collaboration with department/practice/division personnel, assure fellow clinical schedules comply with applicable policies and regulations.
- Perform other duties as assigned.

Full time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate in-person needs.
