The Event Coordinator is responsible for the seamless execution of events at SERV, focusing on planning, coordination, and guest engagement to deliver exceptional experiences.

Event Coordinator Role

Overview: The Event Coordinator plays a pivotal role in ensuring the seamless execution of private and public activities at SERV. This position emphasizes execution, mid-level planning, and reporting while SERVing the vibes at all SERV events. The role requires strong interpersonal skills and a focus on delivering exceptional experiences that align with SERV’s objectives and values.

Key Responsibilities

Event Execution and Coordination:

  • Execute all aspects of event planning and coordination, including logistics, timelines, and scheduling.
  • Coordinate with vendors, contractors, and internal teams to ensure smooth operations and adherence to plans.
  • Prepare and distribute detailed event plans, such as outlines, maps, and schedules, with minimal involvement in strategic development.
  • Serve as the primary on-site contact during events, managing setup, execution, and teardown.

Activity and Program Facilitation:

  • Manage SERV’s activity-based offerings, including recreational leagues, tournaments, and themed experiences.
  • Collaborate with the marketing team to promote activities and drive participation.
  • Act as the public representative for SERV during activities and events, engaging with participants and ensuring a positive experience.

Vendor and Partner Relations:

  • Communicate effectively with third-party vendors, negotiating contracts within established parameters and ensuring adherence to specifications.
  • Foster strong relationships with partners and sponsors to enhance event quality and secure future collaborations.

Guest Engagement and Communication:

  • Represent SERV positively at all events, engaging with guests, participants, and stakeholders to ensure satisfaction.
  • Collaborate with the marketing team to ensure consistent messaging and branding in promotional materials and communications.

Reporting and Post-Event Analysis:

  • Track event budgets and expenses, reporting on financial performance to management.
  • Monitor key performance indicators (KPIs) such as attendance, revenue, and satisfaction.
  • Conduct post-event evaluations to gather feedback and implement improvements for future events.

Compensation:

  • Base Salary: $50,000 per year.
  • Full Benefits: Comprehensive health coverage, as well as other employee benefits.
  • Paid weekly
  • Bonus Opportunities: Quarterly bonuses totaling up to 10% annually, based on performance metrics and goals achieved.

Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred.
  • Proven experience in event planning and execution, including public and private events.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Exceptional communication and interpersonal skills, with the ability to represent SERV professionally.
  • Proficiency in event management software and tools.
  • Ability to work flexible hours, including evenings and weekends, as required by event schedules.
