QUALIFICATIONS
Bachelor's degree in business, communications, event management, marketing, or related field. Proficient in Microsoft Office Suite, social media, and familiarity with Adobe, WordPress, Cvent, QuickBooks. Excellent communication skills and event experience required.
RESPONSIBILITIES
Identify event venues, manage budgets, coordinate logistics, oversee project timelines, manage speaker and attendee registrations, contribute to branding and marketing strategies, execute on-site event activities, build client relationships, provide administrative office support, and manage sponsorship logistics.

We are looking to expand our team with a dedicated Administrative Event Coordinator to contribute to the planning and execution of small to mid-size conferences and provide robust administrative support.
Responsibilities
Site Selection: Identify suitable event venues based on client requirements.
Budget Management: Create, manage, and reconcile event budgets.
Event Logistics: Coordinate all logistical aspects of conferences, ensuring smooth execution.
Project Management: Oversee the planning process, timelines, and deliverables.
Speaker Management: Coordinate with speakers for conference sessions.
Registration Management: Handle attendee registrations and related logistics.
Conference Branding & Marketing: Contribute to branding efforts and marketing strategies.
On-Site Event Execution: Manage on-site activities for successful event delivery.
Client Relations: Build and maintain positive relationships with clients.
Administrative Office Support: Provide general administrative support, including using QuickBooks.
Sponsorship/Exhibitor Management: Manage logistics with sponsors and exhibitors to include:
- Letters of Agreement
- Fulfillment of sponsorship deliverables
- Sponsor/Exhibitor instructions
- Coordination of sponsor/exhibitor staff registration
- Sponsorship Reconciliation
- On-site assistance

Familiarity with Survey Monkey, Cvent, QuickBooks, and Adobe InDesign (a plus but not required).
Excellent written and verbal communication skills.
Experience updating conference content on a website.
Must Have Event Experience
Work Environment
Remote with moderate to heavy seasonal travel (average 1 trip per month, which can change during peak months), primarily within the U.S. MUST reside in the TAMPA BAY Area.
