The Event Management Specialist will assist in creating and managing online registration websites for events, ensuring effective communication and collaboration with educators and stakeholders while maintaining high standards of service and operational efficiency.
JOB DESCRIPTION AND POSITION REQUIREMENTS:
The department of Marketing and Communications in the College of Agricultural Science s is hiring an Event Management Specialist. The Event Management Specialist will perform as a member of a team to develop and implement online registration websites in Cvent. This person will work collaboratively with educator and faculty event leaders, and county event registration staff on the event registration website development, implementation, and email marketing to ensure alignment with the program team and organizational policies and goals.
Responsibilities include:
Developing a high quantity of program registration websites and templates based on specific program needs and established best practices, as well as consulting with educators, faculty members, event leaders, and event registration managers as needed to ensure needs are continually being met. Responsibilities include:
Serving as a point of contact for any client questions and concerns regarding Cvent event registration website maintenance and support, program registration management, and operation efficiency.
Troubleshooting and diagnosing programs, identifying and applying technical and/or practical solutions, as well as following up on registration issues, requests for information, collection payment processes and issues, on-site support, etc.
Development of training materials and continued training of educators, faculty members, program directors, and event registration managers regarding effective management and technical use of online registration program software, including but not limited to event management, registrations, contact lists, payment management and refunds, reporting and financial closeouts, as well as best practices and protocols established for the smooth and effective operation of registration management.
Identifying current and/or anticipated needs for established best practices and protocols and collaborating with the team and management to develop effective best practices and protocols based on technical and practical experience.
This position will work fully remotely.
Education and Experience:
This position will be filled as an Education Program Coordinator at the level of Intermediate Support or Senior Support , depending on the final applicant's experience and education. The Intermediate Support level requires a minimum of a High School Diploma/GED or Vocational Training/Degree for education and two years of relevant experience, or an equivalent combination of education and experience. Additional education and/or experience are required for higher-level positions.
This position requires an understanding of event planning and marketing concepts and experience with event registration software such as Cvent is preferred but not required. This position requires the ability to edit and/or write program descriptions for immediate publication, including the application of excellent grammar and punctuation skills. This position also requires an excellent communicator, who can manage and ensure continuous open communication with the team and clients, which is critical to a smooth and effective operation.
Experience in marketing technology applications, such as CMS, and email service providers is preferred, but not required. This position requires a high level of self-direction and personal accountability and the ability to work in a demanding, deadline-focused, dynamic environment, and consistently produce deliverables within agreed-upon timelines. In addition, the candidate must be highly organized with excellent time management skills, and the ability to shift priorities and multitask to meet aggressive deadlines and should constantly strive to rapidly learn and take advantage of new concepts, technologies, and Cvent best practices and training opportunities.

The salary range for this position, including all possible grades is:
$38,300.00 - $61,000.00Salary Structure - additional information on Penn State's job and salary structure.
