SHORT DESCRIPTION

The Event Planner will manage and execute events from concept to completion, ensuring memorable experiences while collaborating with clients and managing all logistics.

Position Description:
The role as Event Planner will bring creativity and highly organized abilities to manage, plan, and execute events that deliver memorable experiences. The ideal candidate will have a passion for event planning, exceptional organizational skills, and the ability to handle all aspects of event coordination, from concept to execution.

Responsibilities:
Event Planning and Coordination:
  • Collaborate with clients, stakeholders, or internal teams to understand event goals, objectives, and budgets.
  • Design and plan events, including timelines, themes, and layouts.
  • Research, select, and negotiate with vendors for venues, catering, dcor, entertainment, and other services.
Budget Management:
  • Prepare and maintain event budgets, ensuring cost efficiency without compromising quality.
  • Track expenses and generate reports post-event.
Logistics Management:
  • Oversee all event logistics, including transportation, equipment setup, and staffing.
  • Ensure compliance with safety and legal regulations.
  • Coordinate event schedules and troubleshoot issues as they arise during the event.
  • Marketing and Promotion:
  • Develop promotional strategies to maximize event attendance and engagement.
  • Collaborate with marketing teams to create promotional materials, social media content, and event invitations.
On-Site Management:
  • Serve as the main point of contact on the event day, ensuring smooth execution.
  • Supervise event staff, volunteers, and vendors to ensure all activities are on schedule.
Post-Event Evaluation:
  • Collect attendee feedback and evaluate the success of the event.
  • Provide comprehensive post-event reports, highlighting achievements, challenges, and lessons learned.
Required Qualifications:
  • Bachelors degree in Event Management, Hospitality, Marketing, or a related field (or equivalent experience).
  • Proven experience as an event planner or coordinator, with a portfolio of successful events.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work under pressure, solve problems quickly, and handle multiple projects simultaneously.
  • Proficiency in event management software and tools.
  • Flexibility to work evenings, weekends, and travel as needed.

Preferred Skills:

  • Experience with virtual or hybrid events.
  • Knowledge of contract negotiation and vendor management.
  • Familiarity with marketing platforms and social media promotion.
Work Environment
This role may require physical activity during event setup and teardown. It may also include travel to different event venues and client meetings.

Compensation Structure:
  • Base Salary: $55,000
  • Quarterly bonus based on company performance
  • Benefits: 401(k) and a comprehensive benefits suite including Medical, Dental, Vision and Life insurance
