RRS is seeking applications for a part-time Event Planner to work with a new and established clientele, organizing a wide variety of events. You will be responsible for overseeing all aspects of event planning, from concept to execution, ensuring that each event meets the client’s goals, timelines and budget. The position will include internal company event planning and logistics.
Location: Due to the nature of the project(s) for this specific position, the employee must be in Michigan and preferred to be in the Ann Arbor/Detroit area. Position is mostly remote, with preference to be in the Ann Arbor office at least once per month for the first six months.


Key Responsibilities


  • Meeting with project manager to discuss goals, budget and timeline of the events.
  • Researching and securing appropriate event venues based on project needs and budget.
  • Creating and managing event budget, including allocating funds for venue rental, catering, entertainment, decorations and other expenses.
  • Negotiate contracts with vendors and ensure timely delivery of services
  • Set up registration pages.
  • Coordinate logistics including transportation, accommodations, and event materials.
  • Organize hotel blocks.
  • Coordinate catering, AV, room setup, videographers, etc.
  • Oversee the setup and breakdown of event spaces.
  • Handle guests list, invitations, RSVPs, and on-site guest management.
  • Troubleshoot or resolve any issues or conflicts that arise during the planning process or on the event day.
  • Stay current on industry trends and innovative event concepts to offer clients fresh ideas and solutions.
  • Maintain strong relationships with clients, vendors, and venues to ensure repeat business and referrals
  • Arrange for hybrid (in-person + online) events.
  • All other administrative tasks as assigned.


Key Qualifications


  • At least two years of proven experience working with both large and small-scale events.
  • Organized, self-motivated, ability to set work priorities and complete work with minimal supervision.
  • Strong verbal and written communication skills.
  • Ability to work under pressure and manage multiple projects simultaneously.
  • A creative mindset with excellent attention to detail.
  • Strong facilitation and stakeholder engagement skills.
  • Proven knowledge of budgeting and financial management related to event planning.
  • Capacity to work in a high energy and dynamic team environment.
  • Creative problem analysis abilities to solve client multi-dimensional problems.
  • Technical skills using Microsoft Office 365 (specifically MS Word, MS Excel, MS PowerPoint), SharePoint and teleconference/video technologies. Experience in event management software is a plus.
  • Flexibility to work evenings, weekends and holidays as required by event schedules.
  • Ability to manage events remotely or on-site based on client needs.
  • Ability to Travel 10%-15% on average.
Minimum Qualifications:
  • Two-year degree in Hospitality, Marketing or related field and at least two years of proven experience as an Event Planner, Coordinator or similar role.
  • Previous consulting experience is a plus.
