SHORT DESCRIPTION

The Events & Admin Specialist II supports the Development Team by managing events, overseeing donor database, and coordinating administrative tasks to enhance fundraising initiatives.

Introduction: The Events & Admin Specialist II plays a key role in supporting the Development Team's initiatives. This role involves managing events, overseeing the donor database, coordinating various administrative tasks, and contributing to the success of fundraising efforts.

Essential Duties and Responsibilities:

I. Event Coordination & Stewardship

  • Assist in organizing and executing major fundraising events for Mercy House, such as an annual gala, two peer-to-peer fundraising campaigns, and a golf tournament.
  • Oversee all aspects of auctions and other fundraising activities, including tracking and analyzing results.
  • Work with event vendors, negotiate fees, and ensure payments are processed and monitored.
  • Research and identify ideas to enhance event success and meet fundraising objectives.
  • Supervise volunteers and guest staff at events, providing training and on-site leadership.
  • Collaborate with internal teams and external vendors to achieve fundraising targets.
  • Maintain a database of vendors, venues, and other event-related contacts.
  • Coordinate with the Communications team for social media promotion and event coverage.
  • Manage and grow the monthly donor program.
  • Perform other tasks as assigned.

II. Data Management & Administrative Support

  • Analyze donor data and manage the donor database (Raiser’s Edge NXT).
  • Draft and distribute donor acknowledgment letters.
  • Work closely with team members to gather and analyze relevant data.
  • Participate in reconciliation processes with the accounting team to ensure accurate data.
  • Generate reports for both internal teams and external partners.
  • Collaborate with the Development Manager to implement direct mail fundraising campaigns.
  • Source, organize, and track promotional materials and supplies.
  • Assist the Development Team in monitoring activities and expenses to meet revenue goals.
  • Monitor the primary Development email account and ensure follow-up actions are taken.
  • Perform other duties as assigned.

Required Skills & Qualifications

  • 1-3 years of experience in event planning.
  • Bachelor’s degree in hospitality, marketing, communications, business administration, or a related field.
  • Strong oral and written communication skills.
  • Creative, positive attitude with a focus on donor stewardship and account management.
  • Excellent problem-solving skills and the ability to seek guidance when necessary.
  • Strong project management abilities, including tracking progress and meeting deadlines.
  • Comfortable working collaboratively within a team and taking leadership on projects when needed.
  • Detail-oriented with accurate data entry skills; intermediate proficiency in computer software and the ability to quickly learn new tools.
  • Proficient in Microsoft Office Suite.
  • Experience with Word mail merging and CRM data entry is preferred.

Job Type: Full-time

Pay: $23.00 - $27.00 per hour

Expected hours: 40 per week
