SHORT DESCRIPTION

The Event & Admin Specialist II supports the Development Team by managing events, maintaining the donor database, coordinating administrative tasks, and contributing to fundraising success.

Introduction: The Event & Admin Specialist II is responsible for projects and duties within the Development Team. This position manages events, maintains the donor database, coordinates departmental administrative tasks, and contributes to the overall success of our fundraising efforts.

I. Event Planning & Stewardship

  • Assist in planning and coordinating major fundraising events for Mercy House, including, but not limited to, an annual gala, two peer-to-peer fundraising events, and a golf tournament.
  • Manage all aspects of the auctions and other fundraising activities in connection with the events. Track and provide analysis for the results of these fundraising activities.
  • Coordinate with event vendors, negotiate fees, and ensure that payments are made and tracked.
  • Research and track ideas for events to ensure event success and attainment of fundraising goals.
  • Coordinate the work of guest staff and volunteers at events, providing training, materials, and on-site leadership.
  • Work with team members within Mercy House and outside vendors to ensure that fundraising goals are met.
  • Build and maintain a database of vendors, venues, and event-related contacts.
  • Coordinate with the internal Comms team for social media promotion and coverage of events.
  • Oversee, grow, and track the monthly donor program.
  • Other duties as assigned.

II. Data Management & Administrative

  • Analyze and report on the donor audience while maintaining the donor database (Raisers Edge NXT).
  • Create and distribute donor acknowledgment letters.
  • Collaborate with team members to collect and analyze data.
  • Participate in reconciliations with accounting to ensure data accuracy.
  • Create reports for internal teams and/or external partners.
  • Work with the Development Manager to execute the mailing process with direct mail fundraising campaigns.
  • Source, order, organize, and track promotional items and supplies.
  • Assist the Development Team with tracking activities and expenses to meet budgeted revenue goals.
  • Monitor the main Development email and distribute emails for follow-up.
  • Other duties as assigned.

Mandatory Skills:

  • 1-3 years of event planning experience.
  • Bachelors degree in hospitality, marketing, communications, business administration, or a related field.
  • Effective oral and written communicator.
  • Creative, positive attitude with an aptitude for donor stewardship/account management.
  • Excellent problem-solving abilities with the instinct to ask for direction when necessary.
  • Highly skilled at managing projects, tracking progress, and meeting deadlines.
  • Comfortable working cooperatively as part of a team while owning projects and leading when necessary.
  • Must be detail-oriented with accurate data entry skills; intermediate computer literacy and the ability to learn new applications quickly.
  • Proficiency in Microsoft Office Suite.
  • Experience with Word mail merging and CRM data entry is preferred.
