SHORT DESCRIPTION
AFW seeks a creative and organized Event Coordinator to oversee contests, events, and promotions, aiming to support community initiatives through effective event management.
AFW is looking for a creative, energetic, and organized Event Coordinator who can direct and coordinate contests, media/fundraising events, and promotions. If you have the passion to assist AFW with helping the community by directing and coordinating events this could be the position for you!
Starting pay range: $41,022.80-$58,604.00 annually. We offer competitive compensation, excellent benefits, and weekly pay to all of our Team Members.
Job Requirements
- Minimum of 1-2 years’ experience in event planning/coordination, marketing or similar fields.
- Fundraising experience required.
- Coordinate and work effectively with multiple departments to continuously improve processes, maximize efficiency and exceed business expectations.
- Work with the media and business partners, Corporate Assistant, District Manager, Director of Community Development, Marketing Director and the Social Media Specialist to plan and coordinate media events, contests, promotions, and fundraising events.
- Work as a team member by interacting and communicating with fellow associates in a cooperative, constructive manner.
- Ability to listen to and understand information and ideas presented through spoken words and sentences.
- Read and understand information and ideas presented in writing while also communicating information and ideas in writing so others will understand.
- Ability to work a flexible schedule that meets the business needs.
- Must be able to learn, understand, and apply new technologies including but not limited to Room Planner, Storis, iPads, Excel, Word, etc.
- Ability to be flexible with hours including working nights and weekends as needed depending on the event. Good communication skills including the ability to speak to various clubs and groups about AFW and our passion to help the community
Job Expectations
- Plan and execute events for both media partners and non-profit organizations
- Have an excellent eye for design, space layout and be able to work effectively and positively with design/set-up team.
- Ability to recruit and work with volunteers for events.
- Coordinate the delivery of furniture and accessories to the event on time within window appointed by show parameters.
- Assist with set up at events to include but not limited to: furniture set up, lighting, electrical and signs.
- The setting, communicating and maintaining timelines and priorities on the project.
- Communicating, maintaining and developing relationships with show managers.
- Managing operational and administrative functions to ensure specific projects are delivered efficiently.
- Coordinate contest details so winners can be properly notified and all releases are obtained.
- Review event documentation for accuracy, and needs.
- Coordinate services for events, such as accommodation and transportation for products, facilities, signage, displays, special needs requirements, printing, and event security.
- Arrange the availability of equipment, transportation, displays, and other event needs.
- Confer with staff at a chosen event site to coordinate details.
- Create, maintain, and enter information into databases.
- Report to corporate on outcome of events.
- Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
- Update special event and social media calendars
- Operate office equipment such as copiers and phone systems. All training provided by AFW
Physical Requirements
- Requires the ability to sit, stand, walk, stoop, lift, reach, & bend for 8 hours per day.
- Requires constant use of arms, hands, fingers, eyes, legs, and back.
- Physical Work Environment: Office environment and a variety of event spaces to include both indoor and outdoor environments. All weather types are possible.
- Fluorescent Lighting
- Exposure to elements including extreme heat. Concrete, tile, wood, grass, and laminate flooring.
