SUMMARY:

MV Ventures (“MVV”) is seeking a passionate and experienced Events Manager to oversee all aspects of third-party event rentals at Viking Lakes. This individual will manage the entire rental process from initial inquiries and bookings to on-site execution and post-event follow-up. The Events Manager will act as the primary point of contact for clients, fostering strong relationships while ensuring seamless coordination and exceptional service. From private dinners and social receptions in the Minnesota Vikings Museum to fundraiser 5ks and professional sporting events in TCO Stadium, this person will be instrumental in establishing Viking Lakes as a premier event destination both regionally and nationally. The ideal candidate is highly organized, customer-focused, and experienced in managing a diverse range of events.


ROLES AND RESPONSIBILITIES:

  • Oversee the end-to-end planning and execution of events, including corporate, community, cultural, and private gatherings.
  • Identify opportunities for unique events to attract diverse audiences and enhance campus utilization.
  • Manage bid process for regional and national bids, negotiate rental terms to maximize financial impact and draft rental agreements for third-party clients.
  • Coordinate with vendors, contractors, and other partners to ensure high-quality execution.
  • Prepare estimates, track billable expenses, assemble profit and loss statements and strive for cost efficiency on behalf of clients.
  • Work closely with internal and external marketing teams to promote third party events.
  • Ensure event spaces are set up according to specifications and safety standards.
  • Lead and participate in client and internal meetings, including status meetings, pre-event walkthroughs, onsite meetings, and post-program debriefs.
  • Develop and implement processes to streamline event logistics and operational efficiency.
  • Collaborate with other Event Managers, including the Minnesota Vikings, to share resources and create efficient venue transition plans between events.
  • Monitor and evaluate event success, providing post-event operational and financial reports along with insights for continuous improvement and development.
  • Lead and mentor event staff, volunteers, and temporary personnel during events.
  • Process and ensure all permits, contracts and event insurance protocols are in place.

The Events and Programming Manager will work primarily on-site at the Viking Lakes campus, a dynamic environment featuring a mix of sports, hospitality, residential, and commercial facilities. The role requires physical activity, such as walking and lifting, and may involve occasional travel to promote events or collaborate with partners.


EXPERIENCE AND TECHNICAL KNOWLEDGE:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or related field.
  • Minimum of three (3) years of experience in event planning and program management.
  • Experience working with corporate and community stakeholders preferred.
  • Strong organizational and project management skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to think creatively and solve problems effectively under pressure.
  • Proficiency in event management software and tools.
  • High attention to detail, demonstrating initiative, professionalism, personal awareness, and integrity.
  • Ability to work independently, with minimal supervision, while also effectively working as part of a team.


PHYSICAL DEMANDS:

  • Must be able to lift, push, pull and/or move up to 50 lbs. Will be on your feet and mobile frequently, both inside and outside of buildings.
  • Ability to work outside for long periods of time, in various temperatures and weather conditions.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.
