LOCATION

QUALIFICATIONS
5+ years of administrative experience supporting senior executives in a corporate environment, Bachelor's degree, strong attention to detail, excellent time management and multitasking skills, superior written and verbal communication skills, and advanced knowledge of Microsoft Office.

Manage the president's calendar, handle phone communications, prioritize emails, draft communications, facilitate internal communications, arrange travel and logistics, support meetings, and manage special projects and records.

Rubenstein Public Relations is seeking an organized and detail-oriented Executive Assistant to support the President with administrative and operational tasks in a dynamic PR agency.

Position
RPR is seeking an Executive Assistant who will work directly with our President with day-to-day administrative and operational duties. The ideal candidate is highly organized, detail-oriented, efficient, takes initiative and exercises good judgment. Due to the nature of the work, the candidate will have experience supporting senior/C-suite executives in fast-paced environments and be willing to work on a large range of tasks.
*This is an in-office role Monday through Friday at our Midtown Manhattan office.
Responsibilities:
- Execute advanced, proactive calendar management; can drive president’s schedule and help manage president’s time efficiently and effectively
- Provide phone coverage, professionally fielding phone calls and redirecting as appropriate; distribute messages in a timely and appropriate manner
- Prioritize emails and flag as needed for quick response
- Draft, review and send communications on behalf of the president
- Provide a bridge for smooth communication between president’s office and internal departments
- Manage meeting invitations, tech support, and settings for virtual events and in-person meetings
- Make travel arrangements, handle reimbursements, and other logistics related to a busy executive schedule
- Manage other special projects, including personal tasks and other endeavors arising from a fast-paced atmosphere
- Maintain records and documents
Qualifications:
- 5+ years of administrative experience supporting a senior level executive in a corporate office environment
- Experience working in a public relations, marketing and/or advertising firm a plus
- Bachelor's degree
- High level of attention to detail, with strong commitment to accuracy
- Excellent time management skills and the ability to multitask
- Advanced knowledge of Microsoft Office
- Superior written and verbal communication skills
- Exercises good judgment, maintains confidentiality and uses discretion with sensitive matter

In order to comply with equal pay and salary transparency laws in various locations, the Company believes the target range of base compensation for this role is $75-90K/yr. Actual compensation is influenced by a wide array of factors including, but not limited to: skill set, level of experience, and location.

Pay: $50,000.00 - $60,000.00 per year
