Job Overview

Responsibilities
Client Coordination
- Act as the main point of contact for clients, ensuring timely and professional communication.
- Conduct in-person onboarding visits with new clients to set expectations and provide a personalized welcome.
- Maintain relationships with clients to foster repeat business and referrals.
Real Estate Operations
- Write contracts for listings and buyers with a high degree of accuracy.
- Install and remove ELB lockboxes as needed.
- Attend home inspections and closings, ensuring smooth processes.
- Coordinate with vendors, ensuring timelines and quality standards are met.
- Host open houses and assist as a showing agent when required.
- Manage all CRM systems, ensuring accurate client data, custom market reports, and MLS home searches are up to date.
- Collaborate with team members and clients to ensure all deals successfully reach the closing table.
Marketing Management
- Oversee personal and professional social media accounts (Facebook and Instagram), including content creation and scheduling.
- Manage marketing campaigns, including a 33-touch-point system for Sphere of Influence (SOI).
- Brainstorm and implement new marketing ideas to enhance outreach and visibility.
- Coordinate quarterly SOI/past client events and other marketing initiatives.
- Write hand-written note cards for a personal touch in client communications.
Client Experience
- Develop and implement systems to ensure an excellent client journey.
- Personalize and source thoughtful client gifts for closing within a pre-determined budget.
- Create and manage custom market reports and MLS searches for leads.
- Help expand the SOI database through creative and proactive networking efforts.
Professional Growth
- Engage in personal development and education to excel in this role and bring fresh ideas to the team.
- Stay updated on industry trends and best practices to continuously improve workflows.
Requirements
- Previous administrative experience, preferably in real estate or a related field.
- Real Estate License already a PLUS- but will NEED to get one if not
- Strong communication and interpersonal skills, with the ability to build rapport quickly.
- Exceptional organizational skills and attention to detail.
- Proficiency in CRM systems, MLS platforms, and marketing tools. (follow up boss, mailbox power, Sisu, canvas, google drive, dotloop,etc
- Creative and resourceful, with the ability to generate and execute marketing ideas.
- Comfortable with social media management (Facebook and Instagram).
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Willingness to attend in-person client meetings, inspections, and closings.
- Valid driver’s license and reliable transportation.
