SHORT DESCRIPTION

We are seeking a proactive Executive Assistant to support our executives in a fast-paced setting, managing administrative tasks and communication while ensuring office efficiency and organization.

Our company is looking for an Executive Assistant for our Executives in a fast-growing environment to manage a wide range of administrative support duties. This position is a shared role between Real Estate Agents (2) , Property Management & Construction Projects.

Executive Assistant Primary Responsibilities

● Collect information across multiple areas and summarize key needs and issues for
Executives

● Coordinate busy Executive and leadership team schedules by managing calendars with flexibility and creativity

● Communicate and manage incoming and outgoing electronic communications on behalf of Executives as needed

● Provide support across vertical businesses
● Plan, schedule, and coordinate events for teams
● Assist Executives in fields of real estate, construction and property management
● Prepare agendas and coordinate arrangements for meetings
● Attend meetings, take notes, follow-up on action items, and provide feedback to

Executives
● Interpret, facilitate, and oversee administrative and operating policies and procedures for employees and cross-functional teams
● Greet guests in person or on the telephone and answer or direct inquiries appropriately.

Manage Wifi phone systems and phone apps.
● File and retrieve documents, records, and reports both manually and electronically
● Perform general office duties such as ordering supplies, maintaining records, and supporting mail distribution
● Assist in keeping the office clean and organized
● Perform all other assigned tasks and requirements as needed
● Manage & document all follow-up before, during and after appointments and/or events in

CRM (Customer Relationship Management system)
● Prepare & send note cards, text messages and make retention & lead generation calls or emails
● Build, implement & manage all systems for this role
● Run errands, print & order marketing supplies.

Executive Assistant Requirements

● Excellent communication management skills
● Ability to work independently with minimal supervision
● Excellent organization skills, flexibility, and a positive approach to the challenges of supporting a busy office of diverse people and projects
● Ability to proactively identify problems and recommend solutions
● Ability to interact well with staff (at all levels) in a fast-paced environment, sometimes under pressure
● Ability to remain flexible, proactive, resourceful, and efficient

● Expert level of written and verbal communication skills
● Strong decision-making ability, sound judgement, and attention to detail
● Ability to perform difficult, complex, and detailed clerical and administrative work with accuracy and speed
● Ability to analyze situations accurately and take appropriate action
● Ability to compose correspondence
● Experience assisting management with the creation client communications & marketing
● Must have working knowledge of computers and all applicable software including strong knowledge of Microsoft Office, including Word, Excel, and Dropbox

We’re looking for a highly organized & proactive Executive Assistant to support our team and companies’ growth. For this role both attention to detail and sense of urgency are key, while being resourceful. You must be adaptable, able to prioritize interruptions & the changing needs of your leader or the business. You have a high sense of drive and persistence to follow through on tasks & projects. You have the ability to keep your leader prepared & on track using excellent planning and communication. You must have the ability to anticipate needs & provide solutions. We are also looking for someone that can support the social media experience and have a high level of technology.

Job Type: Full-time

Pay: From $20.00 per hour
