Executive Administrator/Office Coordinator
Location: Pawleys Island Branch Office
Reports to: Director of Business & Administration
Hours: Full Time, Salary, Benefits Eligible
Our Executive Administrator is the key support to our entire leadership team. This is a critical part of our team that ensures the right people are in the right place at the right time, that information is documented and communicated, and the function of the overall office operations are smooth and efficient.
Candidate Characteristics
Our ideal candidate is professional, detail oriented, likes to coordinate people and schedules, is a great communicator and is always seeking ways to improve processes. They will have a primary role in assisting top leadership with confidential tasks, meeting management, minutes, and follow up communication.
Effective, clear and concise communication as well as high level organization and multitasking skills are a must. As this role includes involvement with confidential information, our ideal candidate must be trustworthy and hold high ethical standards.
Client care is a priority at G3. This person will assist with documentation, proposals, and follow up on current and upcoming projects. They will have an integral role in managing our relationship management and financial software. Our candidate will be a critical part of our team that ensures the success of our projects, clients, team, and firm.
A Typical Day
Each day, our Executive Administrator will work closely with our team and Leadership to:
- Oversee office operations ensuring all areas are well maintained, prepared for our team and clients, supplies are ordered, stocked, and our spaces are inviting and comfortable
- Assist leadership team with meetings, events, and communication
- Maintain leadership calendars, schedule meetings, add, edit, and send invitations and reminders
- Attend meetings, take minutes, and follow up with appropriate attendees
- Coordinate travel arrangements
- Prepare, review, and send written correspondence and requests
- Coordinate special / personal items as requested by CEO, CFO, CBDO, DBD/BA and other specified members of leadership
- Facilitate and track daily office activities
- Assist Business Development team with projects
- Oversee client relations and project management: Including gathering client and team information, inputting it into tracking software, generating reports, compiling information to present to leadership
- Receive and process expense reports
- Assist with Client communications, relationship building, and gifts
- Assist Marketing Manager with team events, materials, activities
- Manage special projects as assigned
Skills Needed to Be Successful
- Our Executive Administrator needs advanced knowledge of business and inter-office procedures.
- Proficiency in Microsoft Office Suite, digital file management, Unanet and Monday.com experience is a bonus.
- Experience in business administration, office operations, Human resources, recruiting and legal field is a plus.
- A bachelor’s degree with five years’ experience in a related field is preferred or equivalent combination of education, training and experience.
- A valid driver’s license is required and the ability to work nights and weekends as necessary as well as being able to lift and move a minimum of 10lbs.
