Key ResponsibilitiesCEO Support
- Tame the CEO’s calendar chaos and keep everything running like clockwork.
- Be the gatekeeper, gate-opener, and everything in between for scheduling and communications.
- Think two steps ahead and always have Plan B (and Plan C) ready.
Team Administrative Support
- Coordinate travel arrangements like a jet-setting concierge.
- Ensure team events are seamless—from travel to tacos.
Office Administration
- Keep the office stocked and stylish with supplies and snacks.
- Plan events that people will actually want to attend.
- Crush the details—like ordering thoughtful gifts and booking perfect spaces.
Accounting Assistance
- Stay on top of client invoices and ensure the cash flows in.
- Handle overdue invoices with tact (and just a hint of “take-no-prisoners”).
Hiring & Onboarding
- Post job descriptions that make rockstars want to apply.
- Keep the hiring process smooth, from resumes to first-day vibes.
- Handle the nitty-gritty like background checks and onboarding tasks.
Marketing Support
- Help craft killer marketing materials for conferences and events.
- Support social media content creation that’s as sharp as it is shareable.
- Coordinate branded swag that screams “we’ve got our act together.”
Podcast Coordination
- Manage podcast logistics like a pro producer.
- Ensure every guest is prepped, and every episode goes live without a hitch.
- Nail episode descriptions and make them pop on every platform.
Sales Assistance
- Be the CEO’s secret weapon with sales workflows and prospecting tools.
- Master HubSpot workflows and keep prospecting spreadsheets sharp.
Process Development
- Spot inefficiencies and crush them with better processes.
- Always be refining—because “good enough” isn’t in your vocabulary.
Qualifications
- Bachelor’s Degree in business administration, communications, marketing, management, or a related field.
- 3–5 years of experience as an admin genius, preferably with high-end clientele.
- Master communicator—both in emails and in real life.
- Thrives under pressure and can juggle a dozen things without breaking a sweat.
- Detail-oriented to the point of obsession—in a good way.
- Tech-savvy: Proficient in Microsoft Office, Google Workspace, and project management tools like Monday.com, Notion, and HubSpot.
- Handles sensitive information with the finesse of a vault.
- Natural problem-solver, thriving in chaos and making it look easy.
- Next-level customer service skills and even better teamwork.
- Time management? You could teach a masterclass.
Compensation & Benefits
- Contract position: 20-25 hours/week
- Pay: $25–$45/hour, based on experience
- Location: Remote or in-office at 6060 N. Central Expressway, Suite 500, Dallas, TX 75206
- Flexible hours, Monday-Friday (tasks align with 8 AM–6 PM CST).

Reporting Structure
- Reports directly to the CEO.
