Summary of Job Description

The Food & Beverage Coordinator supports the seamless operation of the Food & Beverage department by managing administrative tasks, coordinating schedules, processing invoices, tracking inventory, and maintaining records. This role ensures clear communication between teams, assists with event coordination, prepares reports, responds to guest inquiries, and upholds service standards. Ideal candidates are detail-oriented and organized, with strong communication and multitasking skills, proficiency in Microsoft Office, and familiarity with food and beverage operations. Experience in hospitality or F&B is preferred. The coordinator plays a vital role in delivering exceptional guest experiences by supporting dining services and events in a fast-paced environment.

The rate for this role is $21.50 per hour.

Education/Experience

  • Minimum 1 years' experience in an admin or coordinator role.
  • High School Diploma or equivalent education required.
  • Hotel experience required.

Work Hours

  • Will be required to work flexible scheduled shifts based on business needs.
  • Scheduling includes holidays, nights, overnights and weekends depending on hotel events and functions.

  • Understand the mission, vision, and goals of the hotel.
  • Must be able to prioritize and work efficiently with limited supervision.
  • Must be detail oriented and able to multi-task efficiently.
  • Must be able to speak and understand and communicate the primary language(s) used in the workplace.
  • Requires effective communication skills, both verbal and written.
  • Must possess basic computational ability.
  • Must possess advanced computer skills in Microsoft 365.
  • Must be familiar with basic social media platforms (Facebook, Instagram, LinkedIn, etc.)
  • Strong attention to detail and the ability to handle multiple tasks simultaneously.
  • General knowledge of the city where hotel is located and its attractions.
  • Extensive knowledge of the hotel, its services and facilities.
  • Strong team player, able to partner with management and other employees in a professional manner.
  • Must be able to push, pull, bend, stoop, squat and stretch to fulfill job tasks.
  • Safety requirements of PPE as needed for duty assigned and with use of required tools and equipment.

Job Responsibilities

  • Organize and implement administrative systems & procedures and perform necessary support duties.
  • Assist with Food and Beverage leadership with daily payroll processes.
  • Assist with the Social Media postings of the Food and Beverage division in parentship with the hotel marketing team.
  • Order office supplies, specialty products as needed for the department.
  • Organize office, storage, and bulletin boards.
  • Process PO's and invoices.
  • Respond to and fulfill any special outlet or banquet events or reservations.
  • Follow up on special event arrangements to ensure compliance.
  • Responsible for communication of all necessary event information with culinary, service and housekeeping staffs; arranges for printing of menus, procuring decorations, entertainment and other special requests.
  • Answer incoming calls to management and is the liaison between outlets, management, and internal/external guests.
  • Coordinate and schedule appointments for management.
  • Interact in courteous and professional manner with guests, vendors, and associates.
  • Perform clerical duties such as typing correspondence and reports, filing, and answering phones.
  • Maintain and upkeep various filing systems, including vendor information where necessary.
  • Greet visitors/guests and answer questions and concerns; follow through either to resolution or refer to the appropriate manager.
  • Provide administrative support for the hotel operations as needed.
  • Carries out supervisor requests in accordance with hotel policies and standard operating procedures.
  • Follow 4 Keys service standards, standard operation procedures, and safety standards.
  • Follow all appropriate policies and procedure while constantly striving to improve all standards of operations.
  • Follow safety and security procedures.
  • Work cohesively with co-workers and all departments as part of a team.
  • Adhere to attendance and reliability standards.
  • Additional guest services duties as assigned by management.
  • Follow all additional duties as assigned by management.
