Job Title: Marketing and Front Desk Coordinator

Salary Range: $23.00 – 27 per hour DOE

Patterson Earnhart Real Bird and Wilson, LLP is located in beautiful Boulder County, Colorado. Nestled near trails, parks and lakes, our Colorado office is in Louisville, Colorado. We are a fast-paced law firm with offices in Colorado, Washington D.C., North Dakota, Wisconsin and New Mexico serving American Indian tribes, tribal entities and individual tribal members across the United States.

We are looking for a Marketing and Front Desk Coordinator to join our amazing team of legal professionals. The ideal candidate will have at least 2 years of marketing and event planning experience, can multi-task and is willing to learn and work together as a team in order to best serve our clients. Strong organizational skills, time management, and attention to detail are a must for a candidate to be successful in this role.

Overall Responsibility:
Manage the front desk responsibilities and support and assist the Client Development Committee and client development efforts of the firm. Some travel may be required.

Responsibilities include:
  • Assist legal assistants with conference room set-ups.
  • Assist with Firm events and activities as needed.
  • Maintain front office space.
  • Answer incoming calls and route them accordingly.
  • Distribute daily mail.
  • Order lunch for Firm monthly meetings and plan quarterly birthday celebrations.
  • Order client holiday baskets and cards and order flowers/gifts as needed.
  • Track employee birthdays and anniversaries and send acknowledgement e-mails and distribute birthday cards.
  • Assist with onboarding and offboarding items like updating the firm directory and other documents, distributing them to the firm and changing building access codes.
  • Assist with scheduling internal meetings, interviews and outside vendors.
  • Calendar firm meetings and schedule meetings for the partners.
  • Coordinate Equity Partner and employee trainings,
  • Assist with various marketing efforts like promotional items, updating the website and firm’s LinkedIn and Facebook accounts and writing articles for the eNewsletter,
  • Order promotional items for firm marketing events and conferences and coordinate with vendors to manage the shipping and on-time delivery of promotional items to be used at tradeshows and other events.
  • Assist with the preparation of client development proposals and other communications/presentations as requested; maintain an easily accessible NetDocuments file with presentation work product materials.
  • Manage the ordering of firm marketing materials and attorney business cards.
  • Assist with the planning of client meetings and conference events, and other events, as requested;
  • Prepare and distribute meeting and event itineraries.
  • Support the client development committee by creating agendas, attending meetings, taking minutes and coordinating follow-up items from the meeting
  • Coordinate firm marketing efforts and conference attendance for attorneys and staff.
  • Maintain agenda and lead Client Development Committee meetings, take minutes and coordinate follow-up action items
  • Work with attorneys to research and identify opportunities for speaking opportunities and/or sponsorship of conferences and other events.
  • Organize logistics related to the Firm’s sponsorship of client development and speaking events, including contact with event coordinators, communications with Firm attendees and clients, if applicable, and management of pertinent details to ensure events go smoothly and maximize client development potential.
  • Manage logistics related to exhibit booths or other presentations at client development events, including booth set-up and take-down, display of signage and marketing materials, scheduling attorney participation slots as appropriate, and the presentation of promotional items.
  • When in attendance at events, assume primary responsibility for engaging with exhibit hall attendees, including clients and potential clients, and communicating any pertinent information regarding these contacts to Firm attorneys.
  • Travel to client development events, as directed (likely 3-6 events per year)
Qualifications include:
  • Prior experience working in a law office, event planning or receptionist
  • Attention to details.
  • Excellent communication skills and interpersonal skills; ability and willingness to interact and communicate effectively with a variety of personalities.
  • Analytical and problem-solving skills.
  • Strong planning and organizational skills.
  • Ability to multitask and prioritize with minimal oversight.
  • Flexible, good judgment, discretion, and a strong work ethic.
  • Team player.
  • Proficiency in Microsoft Office Suite, Adobe, NetDocuments - Clio software experience is a plus.
  • Ability to stand for extended periods of time and lift up to 50 pounds.
