The Receptionist and Office Administrator will answer calls, greet guests, manage office supplies, and provide support to staff while exemplifying the company’s values.
Receptionist and Office Administrator
The Receptionist - Office Administrator is responsible for answering all incoming calls for the company, greeting guests, and supporting the office staff.
Areas of Accountability:
1. Answers incoming telephone calls, determines the purpose of callers, and forwards calls to the appropriate person or department. Takes and delivers messages or transfers calls to voice mail when the appropriate person is unavailable. References the Salesperson Directory for account assignments.
2. Communicates with callers in a professional manner using a pleasant and clear voice. Answers questions about JEM Technical and provides callers with addresses, directions, and other information.
3. Welcomes on-site visitors, determines nature of business using sound judgment, and announces visitors to the appropriate person. Offers visitors coffee or water and offers to store personal items in the coat closet.
4. Pages people over the company intercom using a pleasant and clear voice.
5. Receives, sorts, and routes mail on a daily basis.
6. Manages office supplies by keeping on hand the appropriate level of supplies depending upon usage, fields requests/deliveries for associates for specific orders, and keeps stock neat and tidy.
7. Stocks the boardroom supplies (drinks, eating utensils, and paper products) for visitors.
8. Retrieves and routes faxes in a timely fashion.
9. Leads maintenance of machines such as copiers and postage machines by keeping supplies updated and ordering repairs.
10. Assists management in lunch planning and events.
11. Order business cards, office signage, and marketing materials as necessary.
12. Manages electronic signage to welcome visitors, and advise birthdays, anniversaries, and other culture-enhancing news.
13. Assists HR in creating office key fobs and entering information in business software.
14. Enters accounts payable invoices daily into the purchase order system in an accurate and timely fashion. Works with the purchasing department to resolve pricing discrepancies between purchase orders and invoices.
15. Provide professional office support as needed to support other teams.

Requirements:Job Qualifications:
- One to two years related experience in an office environment and/or training; or equivalent combination of education and experience.
- Intermediate computer skills with Windows
- Basic computer skills with Microsoft Office
Work Environment:
While performing the duties of this job, the employee is occasionally exposed to work near moving mechanical parts. The noise level in the work environment is usually moderate.
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
