Healing Harmonies is looking for an HR Supervisor to manage daily HR and office administration tasks, support financial monitoring, and enhance team culture within a growing music and art therapy practice.
Healing Harmonies is seeking an experienced HR Supervisor to step into this new role within our small and growing business. Join our dynamic team of board-certified music therapists and licensed art therapists. We are a rapidly growing private practice, providing services to Milwaukee, Waukesha and surrounding Counties. Our philosophy is highly patient-centered, and our mission is to make quality music and art therapy services accessible to those of all abilities/disabilities throughout our community.
The ideal candidate will be ready to step in to help facilitate day-to-day needs in support of the CEO and Clinical Supervisor while growing our company successfully. The HR Supervisor is a full-time role that delivers on the day-to-day workflow and HR needs in collaboration with the CEO to continually improve and impact our company's profitably and efficiency.
This role includes facilitating and supporting the company's HR needs, office administration, billing assistance, and team needs day-to-day while ensuring the accounting, procedures, and small business processes are meeting or exceeding company goals. Assisting with our hiring process, facilitating the effectiveness of company communications, building and maintenance of company culture and cash flow management are keys to your success. Monthly responsibilities include budget monitoring, financial and performance reporting, while ensuring timely invoicing, contract billing, and claims filing efforts are current.

This role will be working independently to drive project completion and in collaboration as a part of the Healing Harmonies leadership team by exemplifying professionalism in all interactions.
Responsibilities include:
· Facilitate and deliver clear communication in all efforts for highest performance and policies through efficient and productive meetings, documentation, and clear, written follow-up.
· Serve as first point of escalation on team human resource needs, including PTO, Timesheets, Policy clarification, and culture alignment; escalating and collaborating with CEO when required.
· Track, update, and prepare reports monthly on budget, cash flow, financials, and accounting· Update and maintain accurate employee documentation and resources including, but not limited to, job descriptions, employee handbook, procedure manual, etc. (in collaboration with HR support vendors).
· Progress, track, and meet deadlines of operational projects as identified or assigned.
· Supervise team environment, assessing and performing disciplinary actions, including participation with CEO in escalated performance meetings (in collaboration with Clinical Supervisor when appropriate).
· Stay up to date on fair employment practices and ensure professionalism and confidentiality with employees to obtain and retain quality staff. · Assist in facilitating the hiring process in conjunction with the CEO and Clinical Supervisor, as assigned.
· Identify, develop, and document internal business processes and company procedures to streamline efficiencies.
· Schedule and deliver an approved twice-monthly email newsletter to support Marketing Efforts.
· Support office coordinator in facilitating billing communications through email, telephone, and instant message to clients, team members, and vendors to ensure that accurate and timely details on account status and accounts receivable needs are addressed.
· Support in collection and review of Medicaid referrals and authorizations for accurate data and to facilitate ease of collections.
· Follow up on late payments, collections and resolve financial discrepancies when escalation is needed.
· Learn and have knowledge of the process to facilitate third party payee claims and billing to ensure accurate fee structures, submit claims for payment to ensure the ability to provide support for office coordinator when needed
· Attend all meetings in a prepared and timely manner.
· Deliver bank statements, accounting receipts and any relevant information in collaboration with CPA to assist in account reconciliation.
·Follow and adhere to all regulations and guidelines set forth by federal and state programs
· Coordinate, facilitate and support onboarding and training of employees including collaborating with CEO and Clinical Supervisor on clinician training.
· Manage vendor relations, newly identified solutions and vendor communications for the company.
· Management and reporting of accounting to stay current and responsive to issues regarding budget, accounts receivable, accounts payable, and billing or claim issues.
· Review and recommend improvements for staff retention/morale in collaboration with Office Coordinator to the CEO.
· Create and facilitate team-building events and opportunities that contribute to the solidification of a strong culture that aligns with our values and vision in collaboration with Office Coordinator and CEO.
· Facilitate and draft agenda for all assigned meetings including weekly team meetings
· Additional duties as assigned and yet undefined
Ideal Candidates will have:
· 4 years minimum of small business office management experience.
· 4 years minimum experience supervising teams of 10 or more.
·4 year of experience managing daily HR duties such as payroll, onboarding, hiring/firing, process development and documentation, etc.
· Knowledge of medical billing and claims filing systems .
· Excellence working with Google Suite, QuickBooks, Spreadsheets ( Excel Formula) and online billing solutions.
· Excellence in details, time management and organizational skills
- Demonstrate strong verbal and written communication skills.
- Display professionalism and company alignment in all interactions.
Preferred, but not required:
· Healthcare industry experience
· budget facilitation and business financial reporting experience.
· Understanding of Wisconsin State funding such as Medicaid, Private Pay, IRIS
· Fluent in Spanish
Benefits and compensation:
This full-time position is salaried and pays $50,000-$55,000/year dependent upon experience.
