Intake Coordinator
The Intake Coordinator is responsible for all activities designated to processing referrals/intakes, including assisting the Clinical Liaison with established referral sources and build new referral sources. These activities may include but are not limited to: assisting clients with completion of intake paperwork, scheduling appointments, tracking referral status, and insuring preliminary data is collected and entered according to regulatory standards. The Intake coordinator also assists the Clinical Liaison with marketing, public relations, and education of stakeholders.
ESSENTIAL RESPONSIBILITIES
1. Review and process all incoming referrals
2. Facilitate appointment scheduling and completion of all new client intake forms
3. Tracks referral source activity through information technology as well as produces reports as needed
4. Provides information to new clients regarding services, policies, programs and clinical pathways.
5. Works closely with the Licensed Intake Specialist to ensure business objectives are met.
6. Provides field staff with timely information from the community regarding services.
7. Maintains a positive agency relationship with current referral sources through various activities.
8. Establish positive relationships with collateral programs, agencies, and businesses to promote and inform of Amethyst clinical service availability.
9. Assist with care coordination during enrollment, treatment, and discharge phases of therapy
10. Collaborate with Clinical Liaison to develop and modify processes to support the efficient and effective enrollment of clients
11. Work collaboratively to ensure Amethyst is compliant with local, state, and federal regulation standards
12. Assist Clinical Liaison with developing and managing contracts with new insurance providers and programs
13. Complete clinical and non-clinical paperwork related to client enrollment, research data collection, and treatment service transitions.
14. Run reports and obtain reports from provider partners to keep track of status of cases
15. Verify insurance eligibility
16. Maintain logs of authorizations, data reporting requirements, and expiration dates
17. Provides information to referral sources, such as updates, educational material, and statistical analysis. Is a resource for questions and care concerns.
18. Participates with other members of the intake team to resolve issues raised by referral sources.
19. Consistently looks for new and creative ideas, new markets and marketing strategies to discuss with the marketing team.
21. Supports clients from the point of referral to admission and provides regular feedback to referral sources on individual clients as requested or needed.
22. Constantly strives to improve the image of Amethyst in the provider community.
23. Performs other duties as deemed necessary.
QUALIFICATIONS
1. Demonstrates strong oral and written communication skills as well as the ability to work independently and manage time.
2. Communicates effectively and tactfully with clients and community stakeholders.
3. Can be depended upon to report to work on-time, use time off appropriately, and complete any training, or education requirements.
4. Excellent time management skills
5. Has a working knowledge of office healthcare operation.
6. Prior coordination/management experience preferred.
Minimum Requirements
- Associates degree or relevant work experience, Bachelor’s Degree preferred
- 3+ years intake/enrollment experience (Medicaid, Medicare, NC BC/BS, Aetna, Tricare, United)
- Experience working with ethnically and culturally diverse communities and underserved communities
- Strong communication skills, including effective internal communications with central team
- Bilingual a plus (English and Spanish)
- Organized, attentive to detail
- Comfortable working in high pace setting.
- Ability to function collaboratively with interdisciplinary team
- Clinical experience a plus
