DEPARTMENT SUMMARY

Kripalu Schools develops and delivers transformational professional certification trainings, on campus and online, to hundreds of students each year and holds significant responsibility for mission impact and financial sustainability of the organization. The Department includes the Kripalu Schools of Yoga, Integrative Yoga Therapy, Ayurveda, and Mindful Outdoor Leadership.

POSITION SUMMARY

The Admissions Coordinator is a high-energy champion of Kripalu and our world-class certification training programs. As an important member of the Kripalu Schools team, this role is primarily responsible for strategic program recruitment and outreach, data analysis of application and enrollment trends, prospective student advising, and converting inquiries into applications and ultimately into training registrations. This position is often the first point of contact for each of our Schools and works closely with School Directors, as well as with our Schools Manager and Guest Service team to process applications, confirm enrollments, manage payments, address registration issues, and ensure a seamless student experience. Infectious enthusiasm combined with the ability to communicate important, accurate and timely information about an array of trainings is critical as this position also collaborates with Marketing and Schools Directors to help steer marketing efforts and manage certain project milestones. As a foundation to the work, the Admissions Coordinator processes training and scholarship applications, responds to certification inquiries, reports enrollment trends for all Schools. Being proactive, highly organized, customer oriented, and passionate about yoga, Ayurveda, and nature-based connections are musts.

SCHEDULE

  • This role is full-time and on-site at our Kripalu campus.

  • This position requires occasional night and weekend availability.

ACCOUNTABILITIES

  • Act as the primary contact and Kripalu Schools ambassador for a high volume of inquiries related to training, admissions, scholarships, and alumni requests via email, phone, and walk-ins.

  • Serve as a student advisor to prospective and current students, provide guidance before and after program participation. reviewing and responding to applications and questions.

  • Staff a welcome table on program start days to greet and orient incoming students.

  • Hold weekly on-campus office hours during high-traffic times to talk with prospects who have schools' questions.

  • Maintain and update response template for frequently asked questions.

  • Review training applications, send approval or denial emails, and maintain all records in Hubspot and Schools files.

  • Develop data-informed outreach plans to maximize inquiries and conversions to applications and ultimately registrations.

  • Analyze trends at every step of our prospective student pipeline. Track enrollments over time including conversion rates (the percentage of inquiries/applicants that become enrolled) and lead time analysis (the average length of an applicants decision-making window before registering).

  • Use existing data about inquiries, applications, registrations, and program completion to inform a cadence for inquiry outreach initiatives, strategic follow-up timing, and lead-time windows for when programs need to be live on the website and available for registration.

  • Track program enrollments daily to inform outreach and marketing pivots.

  • Hold key interdepartmental collaborations across program operations areas as a Schools representative.

  • Partner with Registrations department and Guest Services to field incoming inquiries about Schools programs and trainings. Attend weekly registration meetings.

  • Work with Housing Supervisor to ensure alignment between Guest Services and Schools regarding accommodation processes and enrollment information.

  • Manage scholarship processes, in collaboration with the Impact and Schools Manager to effectively allocate scholarships, promote access, and track enrollment.

  • Amplify Kripalu Schools messaging internally and externally and serve as the face of Kripalu Schools Admissions.

  • Collaborate with the marketing department and Schools Directors to manage certain project milestones related to school marketing initiatives, including ad campaigns, web, brochures, catalog, email marketing campaigns, etc.

  • Analyze enrollment and application information to identify areas where marketing efforts can be increased.

  • Verify accuracy of all marketing materials, the website, and other resources related to admission, scholarships, and program dates.

  • Conduct an audit of all in-house and Kripalu online opportunities for marketing Schools trainings in active and passive waysincluding catalog placements around the building, hosting information sessions during lunch hours, presenting about other Schools offerings at the end of trainings, etc.; build prioritized plan for implementation according to budget requirements.

  • Develop systems to codify and report scholarship award amounts by program, excerpts of evaluations, testimonial prompts, and post-graduation surveys.

  • Take a proactive and solution-oriented approach to addressing admissions needs and issues, and communicate/collaborate with Schools leadership, faculty, and Program Coordinators needed to ensure consistent policies and procedures across Schools.

  • Work closely with directors to review and enhance application processes accuracy and effectiveness.

  • Support Schools Manager in processing payments for students on unique payment plans; including third-party payments, employees, and deposits. Utilize Resort Suite for compiling student information for payment tracking and roster management.

  • Carry out registrar responsibilities such as responding to requests for duplicate certificates, transcripts, and manuals for graduates.

  • Provide post training advice on next steps for different certification tracks.

  • Perform other duties as requested.

ESSENTIAL SKILLS AND EXPERIENCE

  • Proven success in sales, marketing, and/or customer service roles.

  • Strong oral and written communication and interpersonal skills.

  • Possesses core ethics, integrity, and values consistent with Kripalus organizational principles.

  • Data-driven and proficient with CRM / customer management system, spreadsheets, creating processes and automating systems.

  • Adept with Microsoft office and tech platforms that support project management.

  • Strong time-management skills and ability to focus in fast-paced environment.

  • Comfortable with phone/video-conferencing/in-person outreach

  • Ideally a Kripalu Schools training graduate / alumni (Please keep in mind this is not a teaching position.)

  • Ability to lift twenty-five pounds.
