Seeking a proactive Licensed Real Estate Assistant and Client Relationship Manager to streamline operations, manage client relations, and support agents in a busy real estate environment.
Job Title: Licensed Real Estate Assistant and Client Relationship Manager
Location: Beverly Hills
Job Overview: We are seeking a highly organized and proactive Licensed Real Estate Assistant and Client Relationship Manager to handle all aspects of our business operations, allowing our agents to focus on prospecting, following up with leads, attending showings, and participating in listing appointments. The ideal candidate will be a licensed professional with extensive experience in real estate contracts, the listing process, client relations, the escrow process, and administrative tasks.
Key Responsibilities:
Operational Efficiency:
● Develop and implement efficient systems to streamline business operations.
● Track and measure key performance indicators to ensure progress toward revenue goals.
Provide monthly reports of KPI’s including but not limited to: sales performance (closed
transactions, appointment/list ratio, hours prospected/appointment ratio), financial metrics (revenue/profitability, expense/revenue ratio, avg commission per sale), operations (client satisfaction and close ratio), marketing/ lead gen (to be discussed with marketing VA and to include lead generation/conversion metric) and agent productivity
Financial Oversight:
● Handle expense tracking and management through Quickbooks and provide a monthly update to
team leads.
● Monitor and manage budgets to ensure financial health and adherence to fiscal plans.
Contract, Escrow, and Listing Management:
● Oversee all escrow processes to ensure timely and accurate completion.
● Coordinate and manage all aspects of client transactions from initial contact to closing and
beyond.
● Oversee listing management, ensuring all properties are accurately and effectively presented.
● Prepare, review, and manage offers, counter offers, RR, and listing agreements.
● Work with a team transaction coordinator to ensure a smooth experience with all things contracts.
● Manage the entire listing process from start to finish.
● Prepare listing agreements, comparables, schedule listing appointments, and ensure all
necessary documentation is complete.
● Coordinate with the marketing team for marketing and promotional material for listings.

Client Relationship Management:
● Serve as the primary point of contact for clients, ensuring their needs are met promptly and professionally.
● Build and maintain strong relationships with clients to foster repeat business and referrals.
● Maintain and nurture client relationships to ensure high levels of customer satisfaction.
● Address and resolve client inquiries and issues promptly while updating team leaders.
● Increase referral rate through past client relationships.
Coaching and Coaching Events:
● Attend bi-weekly coaching sessions.
● Attend additional coaching.
● Attend events that team leaders travel to for coaching and summits to learn and return for implementation.
Recruiting for Team: (if applicable)
● Establish parameters of recruiting goals and needs with input from team leaders.
● Intentionally assist with bringing on valuable players that align with those goals.

Selling LA Luxury Team:
● Assist with upholding team standards for team members.
● Oversee team numbers and report to team leaders.
● Make suggestions for the growth of the team whether it’s standards, training, etc.
Administrative Management:
● Manage calendars for team leaders, scheduling appointments, showings, team meetings and
mandatory Rodeo Realty meetings.
● Monitor and respond to emails, ensuring timely communication with clients and partners.
● Manage company cell phone communications and logistics.
● Manage team leader's calendar, email, phones, social media messages, and personal schedule as directed by team leaders.
Marketing and Event Coordination:
● Prepare for property closings, ensuring all documentation and logistics are handled.
● Set up and coordinate open houses and other marketing events to promote listings.
● Schedule and staff open houses, ensuring all necessary preparations are completed.
● Coordinate with the marketing team for marketing and promotional material for open houses.
● Assist with additional events, team building activities and team lead projects as needed.
Training and Development:
● Create and implement a team training calendar to be led by team leaders.
● Empower team members with resources to become top-producing agents.
● Be accessible to respond to inquiries from team members.
Additional Responsibilities:
● Perform personal assistant tasks as needed for the team leaders.
● Book travel and accommodations for team members as required.
● Manage and schedule property showings.
● Assist team members with their transactions, client relations, and other tasks to ensure smooth
operations.
Attention to Detail:
● Maintain meticulous records and ensure all documentation is accurate and up-to-date.
● Conduct regular audits of office processes and files to ensure compliance and efficiency.

Requirements:
- Must be a licensed real estate professional.
- Proven experience with real estate transactions and the listing process.
- Strong client relations skills with a focus on providing excellent customer service.
- Extensive knowledge of the escrow process.
- Exceptional organizational and time management skills.
- Proficiency in calendar and email management.
- High attention to detail and accuracy.
- Must be a morning person with a proactive and positive attitude.
Compensation:
- $25 an hour during a 30-day trial period.
- Potential for increased compensation and benefits after the trial period, based on performance.
