Licensed Real Estate Listing Assistant needed to support a growing real estate brokerage by managing listings, assisting clients, and collaborating with the team to maintain high service standards.

Overview
As a growth-oriented real estate brokerage with locations in Utah and Nevada, we are seeking a licensed, detail-oriented, and personable Listing Assistant to join our dynamic team. This role is crucial in supporting our expansion efforts and maintaining our high standards of service. This role is perfect for someone who is eager to learn about the real estate industry and contribute to a collaborative team environment.

The Licensed Real Estate Listing Assistant will play a vital role in our brokerage's growth strategy by managing various aspects of the property listing process and supporting the lead agent and team members. This position requires a combination of in-office work and field duties.

Duties

  • All efforts in real estate will be spent assisting team, lead agent and brokerage with client attainment and client retention activities
  • Manage CRM and leads, ensuring market reports, property alerts, and CMAs are assigned and completed
  • Prepare and manage property listings, ensuring accuracy and completeness of information
  • Coordinate with photographers and videographers for property media production
  • Assist in creating compelling property descriptions and marketing materials- work with marketing when needed.
  • Schedule and coordinate property showings and open houses. Host Open Houses required when no other agent is available. Open House leads are owned by Lead Agent.
  • Handle administrative tasks related to listing agreements and property transactions
  • Show homes to clients, including evenings and weekends as needed
  • Work with our Transaction Coordinator; Assist with writing offers and addendums when Transaction Coordinator unavailable or when time is more expedient
  • Maintain listing expense ledger and obtain approval for all costs prior to initiating the purchase
  • Perform client follow-ups and maintain excellent client relationships
  • Assist with client events and pop-bys
  • Answer phone calls, coordinate with, and help find solutions for clients, vendors, and agents.

  • Manage Lead Agent’s calendar, schedule appointments, and fill in when agent is out of the office/out of town.
  • Complete a minimum of 10 Comparative Market Analysis (CMAs) sent daily to prospective and past clients
  • Manage and update property databases and client information systems
  • Coordinate walk-throughs and closing gifts
  • Represent the agent, team, and brokerage professionally at all times
  • Meet tracking and conversation metrics, as provided by management
  • Tasks and responsibilities may vary as the brokerage grows.

Qualifications and Requirements

  • Active Utah real estate license in good standing
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Attention to Detail is a must!
  • Excellent communication skills, both verbal and written.
  • Proficiency in real estate software and Google Product Portfolio, is a plus
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong interpersonal skills and a customer-service oriented mindset
  • Valid driver's license and reliable transportation for field tasks
  • Professional attire for all client interactions and showings
  • Member of NWAOR in good standing with all fees current
  • Willingness to travel to Las Vegas, NV on occasion
  • Previous experience in a real estate administrative role is preferred but not required.
  • A background in sales or customer service will enhance your effectiveness in this role.

Work Schedule and Environment

  • In-office position (Riverdale, UT), Monday through Friday, starting at 8:30 AM
  • Minimum 40 hours per week, with additional hours as needed
  • Occasional outside tasks and weekend work required
