About the Role

This role provides administrative support to the Regional Sales Office colleagues in the Americas region and GSA-LATAM, and is responsible for the key responsibilities including, but not limited to:

  • Event coordination under the guidance of RDOSM, The Americas and Event consultants (15%)
  • Invoice and credit card processing and JPRM tracking (20%)
  • Office management and administrative tasks (10%)
  • Logging and updating of sales and marketing activities (30%)
  • Report building for resorts and stakeholders on an ad-hoc basis (15%)
  • Other, as outlined below (10%)

Key Duties and Responsibilities

  • Provides administrative support for the regional team members.
  • Supervises the region’s Activity & Budget Tracker, working closely with the regional team members to accurately record and forecast expenses throughout the year in line with annual budget. Ensuring the team’s concur expense reports are split to the appropriate allocations.
  • Proactively manages the budget in accordance with any necessary changes (from resort or RSO) to ensure minimal variance at end of year
  • Supervises the region’s sales trip and trade show calendar working closely with the sales team members.
  • Maintains efficient flow of information within the region and hotels. This includes collating data from the team, tracking and saving marketing placements and sales activities, and building reports to share with other business units or hotel colleagues.
  • Manages and consolidates ongoing regional reporting requirements for monthly calls, Global Office and key stakeholders
  • Manages all marketing activity entries ensuring allocations are correct and status is changed from Planned to Committed when invoiced.
  • Plans events with guidance of sales team, from invitation creation to venue contracting, to post-event client follow up, ensuring our events are implemented in alignment with our brand guidelines and reviewed with LookingGlass.
  • Where needed, assist the sales team with the coordination and execution of regional key initiatives (sales trips, roadshow, tradeshows) including but not limited to organizing business entertainment luncheons and dinners, vendor registration, invitation management, site visits, budgeting, décor, A/V). Acts as liaison between vendor and RSO.
  • Assists in annual commercial planning, specifically relating to the upcoming year’s budget, in addition to setting up and inputting the team’s JPRMs, strategies, GMUs.
  • Liaises with hotel marketing and brand marketing to ensure the creative needs for partner marketing plans is requested and received on time.
  • Submit brand marketing tactics to trade partners following brand guidelines and partner specifications.
  • Liaises with on-property Sales teams as required for co-hosted sales and marketing events in market (i.e. key tradeshows such as Virtuoso Travel Week)
  • Submission and liaising with procurement to register vendors and update vendor bank information to Kerzner’s secure platform, Zycus
  • Collaborate with global finance to ensure vendors receive payment on time
  • Manages multiple competing priorities simultaneously and drive projects to completion.
  • Assist colleagues in training and refreshing of systems (Salesforce, Concur, Power BI, Smartsheet Dashboards, etc.).
  • Work closely with the global team dedicated to salesforce, sharing insights and suggestions on using the tool to assist with the team’s efficiency.
  • Assist Regional Director with pre-opening sales and marketing monitoring for new hotels within the Americas. Ensuring POB trackers are up to date and resort teams have full visibility on planned and invoiced activities.
  • Upload contracts and agreements and work with global colleagues to ensure they are executed on time. Ensure RSO is following contract protocol (i.e. seeking authorized signatures, raising purchase orders, submitted exoneration forms)
  • Have thorough understanding of PowerBI in efforts to pull production reporting as requested by sales team.
  • Manages the daily relationship with the New York office landlord, and office contracts, including the team’s mobile phone account. Assist America-based colleagues with mobile phone set up.
  • Lead gifting efforts including sourcing and production of new items, and packaging and shipments. Manage inventory and shipping of gifting to USA based colleagues.
  • Management of the storage space and upkeep of inventory for event items, gifts, and office items. Manage payment and contract as needed.
  • Works closely with GSA-Latin America team on their needs; marketing collateral sourcing, financial reporting, and event planning guidance.
  • Conduct market research by geographical and business segments, potential partnership brands and any other pertinent market intel to support ad-hoc projects for new and existing resorts.

Skills, Experience & Educational Requirements

  • Minimum 3 years of experience in a similar role
  • Experience in managing a team’s sales, marketing, and operational budget
  • Highly proficient in MS Office applications including Word and Outlook, but especially Excel, Power Point.
  • Proficiency in Salesforce, Concur, Smartsheet a plus
  • Excellent communication skills (both verbal and written in English) and interpersonal skills
  • Professional interaction with clients and vendors
