Job Description
POSITION SUMMARY:
The Marketing and Event Coordinator role exists to manage all aspects of event planning and execution from start to finish according to requirements, target audience, and team objectives. Additionally, this role supports the sales and marketing department on strategic projects that build on the company’s brand and market presence.
PRIMARY RESPONSIBILITIES:
Event Coordinator:
  • Plan and manage logistics for all events, including contract negotiations, venue preparation, presentation materials, catering, entertainment, transportation, equipment, decor, and marketing materials
  • Over-see on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases
  • Serve as main point-of-contact to troubleshoot and handle any issues that arise on event days
  • Monitor, report, and ensure adherence to set budget per event
  • Source and negotiate with vendors and suppliers and hire event personnel as needed
Marketing Coordinator:
  • Lead the execution of a wide-range of projects, including but not limited to RFP responses, digital marketing initiatives, copywriting, and other ad-hoc marketing projects
  • Oversee the coordination and approval process for 1099 social calendar and posts
  • Market through various channels and segment databases working with various data sets
  • Provide technical writing and content creation for publication online and in print for multiple platforms, such as websites, email marketing, service descriptions / brochures, videos, internal newsletter, and blogs
  • Evaluate the impact of marketing efforts in achieving their stated objectives, including impact on lead flow and retention
  • Partner with other internal stakeholders, and external agencies and vendors on content
  • Maintain various website content including but not limited to: the Leadership team and staff bio’s website page including headshot coordination efforts
  • Facilitate engaging monthly virtual social hours
  • Create and distribute engaging monthly newsletters
QUALIFICATIONS
  • Associates degree or some college coursework desired
  • Minimum of two years’ experience working in a support role, preferably in marketing
  • Must have strong organizational and project management skills, as well as attention to detail
  • Excellent written and verbal communication skills and demonstrated proofreading abilities
  • Understanding of marketing platforms, social media, channels, and best practices
  • Strong problem-solving and decision-making ability
  • Self-starter and able to independently move projects forward, prioritize tasks, and meet deadlines
  • Experience with simple graphic design is highly preferred
  • Developed creative and critical thinking skills
  • Ability to work well in teams and independently
  • Proficient computer skills in Microsoft Office, SharePoint, and digital applications
  • Up to 50% travel required
WORKING CONDITIONS:
Work is generally performed in a typical office environment, with limited exposure to harsh weather conditions, loud internal or external noise, fumes, or significant temperature changes.
PHYSICAL ACTIVITIES AND REQUIREMENTS:
Work can involve lifting and carrying up to 10 - 30 lbs.; frequent standing, sitting, walking, bending, and reaching; occasional kneeling and stooping; operating office equipment; periodic driving likely; visual acuity to prepare, read, and organize detailed hard copy and electronic documents; ability to speak and to hear the spoken word in normal face-to-face, telephonic, and web-based business communications. Willingness to accommodate occasional meetings and work activities that may be scheduled after normal daytime business hours.
