Pond Lehocky Giordano, the largest workers’ compensation and disability law firm in Pennsylvania, is seeking a dynamic and motivated Marketing Administrator to join our Marketing Team. As the Marketing Administrator, your primary responsibility will be providing administrative support to the Marketing Team. You will play a crucial role in ensuring the efficient execution of marketing initiatives, supporting the team in tracking project progress, and contributing to the overall success of the firm’s marketing efforts.
Essential Duties & Responsibilities:
· Project Coordination: Collaborating with the Director of Marketing to track the progress of marketing projects, ensuring the deliverables are completed on time and within budget. Keeping detailed records of project milestones and updating project status reports regularly.
· Meeting Coordination: Scheduling and organizing Marketing Team meetings, calls, and brainstorming sessions. Sending out meeting invitations, preparing agendas, and taking meeting minutes to ensure clear action items and follow-ups.
· Vendor Communication: Facilitating communication with marketing service providers to ensure smooth collaboration and timely delivery of materials.
· Inventory Management: Keeping track of marketing inventory, such as promotional materials and branded items, and coordinating with vendors to reorder when necessary.
· Responding to Inquiries: Assisting in responding to email and phone inquiries related to marketing events, services, or sponsorship opportunities.
· Proofreading and Editing: Reviewing marketing content for grammar, spelling, and consistency, and providing feedback for improvements.
· Research Assistance: Conducting research on industry trends, marketing best practices, and competitor analysis, providing concise summaries and insights to the Marketing Team.
· Event Planning & Execution: Assisting the Chief Administrative Officer with organizing firm events by coordinating logistics, sending invitations, and managing RSVPs. During events, providing on-site support to ensure smooth execution.
Requirements:
· Organizational Skills: Excellent time management and organizational abilities, capable of handling multiple tasks simultaneously and meeting deadlines.
· Communication Skills: Strong written and verbal communication skills to effectively collaborate with team members and individuals throughout the firm.
· Attention to Detail: Accuracy is crucial in a legal environment, and the Marketing Administrator must pay close attention to detail to maintain the firm’s professional reputation.
· Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools and CRM systems.
· Team Player: Capable of working collaboratively with colleagues at all levels and departments within the firm.
· Professionalism: Maintain a high level of professionalism in all interactions.
