Seeking a highly organized Marketing Coordinator to provide administrative support across marketing, business development, and client relations, working on various initiatives including social media and public relations.
We are seeking a highly organized and detail-oriented Marketing Coordinator to provide comprehensive administrative support to our marketing, business development, and client relations functions. This role will work across multiple channels, including social media, website updates, client inquiries, public relations, and marketing initiatives. The ideal candidate will coordinate with various consultants, maintain databases, track metrics, and ensure the smooth execution of marketing projects and events. This is a part-time role, 30 hours a week.
Primary Responsibilities:
- Provide administrative support for digital marketing initiatives, including managing various social media channels, website updates, and online content.
- Coordinate with external consultants for content planning, scheduling, and implementing website changes, including portfolio and photography updates.
- Assist in the creation of marketing materials for both print and digital advertising.
- Conduct initial inquiry calls with potential clients and maintain a CRM database, tracking communications and status updates for all prospects.
- Support scheduling, proposal management, and the onboarding process for new clients, while reporting key metrics to the leadership team.
- Track communication and updates with key referral partners and maintain relationship management systems.
- Assist in maintaining and updating email marketing lists, distributing announcements, and keeping clients and partners informed.
- Support client retention efforts by managing outreach initiatives, maintaining contact lists, and coordinating client communications such as gifting and seasonal mailings.
- Provide administrative support for public relations efforts, including assisting with media outreach and press communications.
- Assist in executing key marketing initiatives and internal projects, ensuring deadlines are met and tasks are completed as scheduled.
- Maintain and update the marketing calendar, coordinating with various teams to ensure timely completion of marketing campaigns and events.
- Help plan and execute company events, business development meetings, and other marketing campaigns, contributing to the coordination of logistics and event details.
- Track and report key performance metrics related to digital marketing, website traffic, and advertising channels.
- Assist in managing the marketing budget and report on marketing expenditures to ensure proper financial tracking.
- Support the creation of content during photoshoots and project meetings, including photography coordination and final content organization.
- Assist with the development and distribution of printed marketing materials, coordinating with graphic designers and other professionals as needed.
- Help execute client-related gifting initiatives, including seasonal gifting and special events.
- Provide administrative support for the company’s philanthropy and charitable giving efforts.
Desired Qualifications:
Education:
- Bachelor’s degree in Marketing, Business Administration, Communications, or a related field preferred.
Experience:
- 2-3 years of experience in administrative support, marketing coordination, or a similar role.
- Experience managing social media platforms (Instagram, Facebook, LinkedIn, Twitter, Pinterest, YouTube).
- Experience with CRM systems and email marketing platforms.
- Familiarity with website content management systems
Skills:
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Basic graphic design skills (Adobe Creative Suite, Canva, or similar tools).
- Ability to manage workflows, schedules, and project deadlines.
- Attention to detail and a proactive approach to problem-solving.
- Ability to maintain confidentiality and professionalism.
Physical Requirements:
- Ability to sit for extended periods while using a computer.
- Occasional standing, walking, reaching, and bending.
- Ability to lift and move materials weighing up to 25 pounds (e.g., marketing materials, event supplies).
- Ability to attend and support on-site events and photoshoots, which may involve standing or walking for extended periods.
- Visual acuity to review detailed graphics, photographs, and computer screens.
