Job Title: Mission Advancement Coordinator

Salary Range: $52,000-63,000

About the Position

The Mission Advancement Coordinator supports the Mission Advancement Department by facilitating donor stewardship, major gifts, regional volunteer programs, and community events and partnerships. This role is integral to advancing fundraising efforts through responsibilities such as gift processing, acknowledgment, financial reconciliation, supply management, and maintaining shared inboxes. Additionally, the Coordinator manages annual licenses and permits and implements initiatives that align with donor engagement and organizational goals.
Essential Functions and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.

Stewardship:
  • Develop and implement engaging annual stewardship programs for individuals (major and annual fund donors), corporate partners, and institutions.
  • Plan and execute donor tours, small events, and recognition programs.
  • Conduct donor thank-you outreach in alignment with the fundraising plan.
  • Draft and manage stewardship communications, including acknowledgment letters, donor impact reports, handwritten notes, and marketing materials.
  • Personalize partner communications for special occasions.
Major Gifts:
  • Provide logistical and administrative support for major gifts, corporate giving, and planned giving programs.
  • Schedule calls, meetings, and events for the major gifts team and maintain the program calendar.
  • Organize and maintain digital and physical records for major and planned giving programs.
  • Audit donor portfolios to identify opportunities and update missing information.
  • Conduct research on current and prospective donors.
  • Prepare donor reports and assist in creating donor proposals.
Regional Volunteer Program:
  • Support the Regional Volunteer Program Coordinator with volunteer recruitment, training, and engagement.
  • Prepare and mail thank-you and birthday cards for volunteers.
  • Maintain accurate volunteer data in the donor management system (DonorPerfect).
Community Events:
  • Collaborate with the Mission Advancement Event Specialist to plan and execute community events.
  • Represent the organization at community events, as needed.
Philanthropy Department Operations:
  • Process and report daily gifts, ensuring timely acknowledgment through mail or email.
  • Perform data entry and maintain consistency across teams by collaborating with Finance, Accounting, and Mission Data teams.
  • Order team supplies, process invoices, and monitor shared inboxes.
  • Manage and renew annual licenses and permits.
Other Responsibilities:
  • Work collaboratively across teams and with external partners.
  • Assist in planning and executing virtual and in-person events.
  • Support fundraising requests through writing and implementation.
  • Ensure confidentiality of partner information.
  • Uphold organizational safety standards and participate as the Advancement team's Safety Committee representative.
  • Perform additional duties as assigned.

Required Education & Experience:
  • Minimum: High School Diploma or equivalent. Preferred: Associate's or Bachelor's degree, or equivalent combination of education and experience.
  • At least one year in a professional setting with office skills; 1-2 years in fundraising is strongly preferred.
  • Exceptional organizational skills with the ability to manage multiple projects, follow through on tasks, anticipate needs, and work independently or collaboratively as part of a team.
  • Genuine interest and passion in making a positive impact on low-income populations through job training and education programs.
  • Interest and willingness to learn fundraising best practices.
  • Experience working with a non-profit organization helpful but not required.
  • Excellent penmanship and strong written and oral communication skills.
  • Advanced writing and research abilities.
Certificates, Licenses, or Registrations: N/A

Computer/Technology Skills:
  • Proficient to intermediate skills in Microsoft Office, including Excel (with some experience implementing functions), Word, PowerPoint, Outlook, and Teams.
  • Preferred experience with fundraising software such as DonorPerfect or other relational databases (CRM systems).
  • Ability to learn new technology and software as related to the job.
Physical Abilities: While performing the duties of this job, the employee will be required sit for long periods of time, communicate with other employees by talking and hearing, required to lift and carry items weighing up to 15 pounds and to operate computer systems. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Able to communicate with others effectively both verbally and written, including those who have limited English skills. Maintain reliable attendance.
