We are looking for a motivated and versatile Office Administrator and E-Commerce Coordinator to join our team. This role combines administrative expertise with e-commerce operations, making it essential for ensuring the smooth functioning of our office and online business. The ideal candidate is tech-savvy, detail-oriented, and capable of multitasking across various responsibilities, including managing office operations, updating the website, processing orders, and engaging with online customers. Knowledge of platforms like Amazon, eBay, and QuickBooks is a huge plus and will be highly valued.
Key Responsibilities:
1. Office Administration:
- Perform general office tasks, including organizing files, managing records, and handling correspondence.
- Maintain office supply inventory and coordinate the purchase of necessary materials.
- Prepare and manage documentation, invoices, and other office paperwork.
- Collaborate with team members to ensure efficient workflows and adherence to company policies.
- Provide administrative support for business operations, such as scheduling, data entry, and report preparation.
2. Website Maintenance and Updates:
- Regularly update the company website with new products, descriptions, and images.
- Ensure website content is accurate, up-to-date, and optimized for user experience.
- Troubleshoot minor website issues and liaise with technical support when necessary.
- Monitor website performance and suggest improvements for functionality and aesthetics.
3. E-Commerce Operations:
- Process online orders accurately, ensuring timely printing and fulfillment.
- Manage order tracking, shipping coordination, and inventory updates.
- Collaborate with warehouse or logistics teams to ensure smooth delivery of products.
- Analyze e-commerce metrics and trends to suggest improvements in online sales strategies.
- Experience with platforms like Amazon and eBay is highly desirable, including product listing, inventory management, and customer communication.
4. Customer Support:
- Handle online customer inquiries via email, chat, or other communication channels.
- Resolve customer complaints and issues professionally and promptly.
- Provide product information, order updates, and technical support to customers.
5. QuickBooks and Financial Support (Highly Valued):
- Use QuickBooks for data entry, invoicing, and basic financial reporting.
- Maintain accurate records of sales, expenses, and transactions for office and e-commerce operations.
- Reconcile accounts and assist with generating reports for the management team.
6. Additional Responsibilities:
- Assist in developing marketing materials, such as promotional banners for the website.
- Support the management team with ad hoc projects as needed.
- Contribute ideas for improving processes related to office administration and e-commerce.
Qualifications:
- Proven experience in office administration, e-commerce coordination, or a related role.
- Proficiency in office software (MS Office Suite: Word, Excel, Outlook) and website management platforms.
- Familiarity with e-commerce tools (e.g., Shopify, WooCommerce, or similar platforms).
- Strong communication skills, both written and verbal.
- Excellent organizational skills with the ability to prioritize and meet deadlines.
- Attention to detail and a proactive approach to problem-solving.
- Knowledge of Amazon, eBay, and QuickBooks is a significant advantage and will be prioritized.
Preferred Skills:
- Basic graphic design skills for website or marketing updates (e.g., Canva, Photoshop).
- Experience in customer service or order fulfillment processes.
- Knowledge of SEO and online marketing strategies.
- Ability to analyze data and generate actionable insights.
Working Conditions:

Pay: $23.00 - $25.00 per hour
