Job Overview:
The Office Manager will play a vital role in the day-to-day operations of our clinic. This position is responsible for managing front office duties, client scheduling, billing and insurance, and providing exceptional support to both therapists and clients. The ideal candidate is organized, proactive, and committed to maintaining a welcoming atmosphere. Key Responsibilities:
- Oversee and manage front desk operations, including answering phones, greeting clients, verifying insurance, following up with doctor offices, and managing client check-ins/check-outs.
- Schedule appointments and manage therapists' calendars efficiently to optimize client care.
- Provide excellent phone etiquette when interacting with clients, vendors, and team members.
- Handle insurance verification, billing, and client invoicing; communicate with insurance companies and address claims as needed. Follow up with past due invoices as needed.
- Maintain accurate records of client information, scheduling, and billing in the clinic’s electronic health record (EHR) system.
- Coordinate communication between clients, therapists, and other staff members.
- Order and manage office and clinic supplies to ensure smooth day-to-day operations.
- Assist in managing social media and client communications, such as appointment reminders and updates.
- Implement and uphold clinic policies and maintain a clean, organized, and welcoming office environment.
Qualifications:
- Associate's or bachelor’s degree preferred.
- Proven experience as an Office Manager, Administrative Assistant, or similar role, ideally in a healthcare or therapy setting.
- Strong organizational skills with attention to detail and an ability to prioritize tasks effectively.
- Ability to manage a team effectively while fostering collaboration and motivation.
- Excellent communication skills, both verbal and written.
- Ability to handle sensitive client information with confidentiality and professionalism.
- Familiarity with insurance billing and claims processes (preferred).
- Proficient in Microsoft Office Suite and experience with electronic health record (EHR) systems or scheduling software.
- Friendly, empathetic, and customer service-oriented demeanor.
- Capable of supervising staff while maintaining a positive work environment.
