Seeking a proactive Administrative Assistant to support the Director of Operations with various tasks to enhance operational efficiency and client engagement in a leading Flathead Valley real estate agency.
Summary
We are seeking a highly organized and proactive Administrative Assistant to support our Director of Operations in day-to-day tasks. This role involves managing administrative responsibilities, creating marketing materials, coordinating with clients and agents, and maintaining our social media presence. The ideal candidate will be detail-oriented, tech-savvy, and possess excellent communication skills to ensure the seamless execution of real estate operations. This position would start as part time but hopefully grow to full-time. Compensation depends on experience.
Responsibilities

Administrative Support:
- Assist the Director of Operations with daily tasks, scheduling, and organizational duties.
- Manage correspondence, emails, and follow-up communications to ensure efficient workflows.
- Prepare and organize documents, files, and reports as needed.

Social Media Management:
- Create, schedule, and monitor engaging content across company social media platforms.
- Stay updated on trends to enhance brand visibility and audience engagement.
- Respond to comments and messages, ensuring timely and professional communication.

Marketing and Client Communication:
- Design and assemble marketing packets for potential clients and presentations.
- Collaborate with the marketing team to develop promotional materials and campaigns.
- Serve as a point of contact for clients, providing updates and answering inquiries.

Event Planning and Coordination:
- Assist in planning and organizing team meetings, client appreciation events, and community outreach initiatives.
- Manage event logistics, including venue selection, vendor coordination, and guest communication.

Agent Support:
- Assist real estate agents with transaction coordination, document preparation, and other administrative tasks.
- Manage lead tracking systems and distribute leads effectively to agents.
- Provide training and support on office systems, tools, and processes as needed.

Lead and Database Management:
- Maintain and update the lead management system to ensure accurate records.
- Track and report lead progress to improve conversion rates.
Qualifications
- Prior experience in administrative, marketing, event planning, or customer service roles is preferred.
- Proficiency in social media platforms, and google suite
- Strong written and verbal communication skills.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- High attention to detail and a commitment to quality work.
- A positive, team-oriented attitude with a willingness to learn and adapt.
